Job Title: Executive Administrative Assistant (Hybrid)

Location: Del Mar, CA (Onsite 3 days/week)


Overview:

This role provides high-level administrative support to the executive team, focusing on effective calendar and email management, meeting coordination, travel arrangements, and administrative operations. The ideal candidate is detail-oriented, exceptionally organized, and able to handle confidential information with discretion. Experience with Salesforce is a plus.


Key Responsibilities:

  • Calendar & Email Management: Proactively manage complex executive calendars, prioritize scheduling, and handle email communications, ensuring timely responses and efficient follow-through.
  • Meeting & Event Coordination: Schedule and support virtual and in-person meetings, prepare agendas and materials, record minutes, and coordinate logistics for executive and board meetings.
  • Travel & Expense Management: Arrange domestic and international travel, create itineraries, and manage expense reports in alignment with company policies.
  • Administrative Operations: Maintain filing systems, generate reports, prepare presentations, and streamline administrative workflows.
  • Communications & Liaison: Serve as the primary point of contact for internal and external stakeholders, draft correspondence, and maintain professional relationships on behalf of executives.
  • Cross-Functional Support: Collaborate with various departments (Finance, HR, IT) to ensure seamless execution of initiatives and projects.


Qualifications:

  • Bachelor’s degree preferred
  • 5+ years of administrative experience, with at least 2 years supporting senior executives
  • Proficiency in MS Office Suite and virtual meeting platforms
  • Strong organizational, communication, and problem-solving skills
  • Discretion with confidential information
  • Experience with Salesforce a plus
