Title: Executive Assistant 

Type: 1099 Contract 

Pay: $20-$35/hour 

Hours: Part time, 20-30 hours per week 

Job Summary: The Executive Assistant will provide critical support to the executive team by managing mail, coordinating logistics, and handling various real estate events. This role offers a unique opportunity to gain exposure to executive operations, event management, and a wide range of administrative tasks within a dynamic industry. The ideal candidate will be highly organized, proactive, and capable of managing multiple responsibilities, including office administration, travel coordination, vendor sourcing, and digital marketing efforts. 

Responsibilities: 

  • Mail and Office Admin: 

  • Sort and distribute incoming mail and packages to appropriate recipients. 

  • Prepare outgoing mail and packages for shipping. 

  • Scan and organize mail and documents for electronic record-keeping. 

  • Calendar and Meeting Management: 

  • Schedule meetings, manage calendars, and prepare relevant documents for meetings. 

  • Coordinate logistics for internal and external meetings, including room reservations and tech setup. 

  • Travel Coordination: 

  • Arrange travel plans including flights, accommodations, and transportation. 

  • Prepare itineraries and ensure all travel logistics are in place. 

  • Vendor Sourcing & Procurement: 

  • Research, source, and manage relationships with vendors and service providers. 

  • Oversee procurement of materials, supplies, and services as needed for events and office operations. 

  • Expense & Financial Reconciliation: 

  • Assist with tracking and reconciling expenses. 

  • Process invoices, receipts, and ensure timely payments. 

  • Licensure and Continuing Education Coordination: 

  • Manage the licensure process for the executive team, ensuring all necessary certifications and renewals are in place. 

  • Assist with coordinating continuing education and professional development opportunities. 

  • Personal Assistant & Family Management: 

  • Assist with personal tasks for the executive team, including family-related logistics, local errands, and scheduling personal appointments. 

  • Oversee personal events and family-related planning as needed. 

  • Event Coordination: 

  • Assist in the planning and coordination of real estate events, including property showings, open houses, and client meetings. 

  • Handle on-site event tasks, including check-in processes, guest assistance, and event follow-up. 

  • CRM/BD Support: 

  • Assist with Customer Relationship Management (CRM) tasks and business development activities. 

  • Maintain and update contact lists and assist with client communications. 

  • Digital Marketing & Graphic Design: 

  • Assist with the creation and design of marketing materials, including flyers, branded gear, and social media posts. 

  • Update and maintain the company website, ensuring all content is current and relevant. 

  • Support the executive team with digital marketing efforts, including email campaigns and social media management. 

Qualifications: 

  • Currently pursuing a degree in Business Administration, Real Estate, Event Management, or a related field. 

  • Strong organizational and time-management skills. 

  • Excellent communication and interpersonal abilities. 

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with event management software is a plus. 

  • Experience with CRM software, digital marketing tools, and social media management is a plus. 

  • Ability to handle multiple tasks and work effectively in a fast-paced environment. 

  • Detail-oriented with a high level of professionalism and discretion. 

  • Ability to work independently and proactively in a remote/contract environment. 

  • Prior experience in office administration, event coordination, or marketing is a plus, but not required.
