The Impact You Will Make
The Executive Assistant enhances executive’s effectiveness by performing administrative duties for executive management, specifically the CEO. Responsibilities include screening calls; managing calendars; booking travel, meeting and event arrangements; preparing reports and financial data; and customer relations. This role requires strong computer and research skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. Sensitivity to confidential matters is required.
Responsibilities:
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
- Manage sensitive matters with a high level of confidentiality and discretion.
- Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
- Maintain a daily calendar of meetings and events; organize complex calendars and schedules; resolving any scheduling issues
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
- Arrange travel and accommodations for executives; prepare expense reports.
- Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with
- Assist in preparing and managing presentations and decks.
- Be responsive to emails/texts/phone calls, with contact outside normal business hours – manage CEO contacts
- Welcome the Executive’s guests by greeting them, in person or on the phone; answering or directing inquiries.
- Represent the company and Executives in a positive light through great follow-through skills and sound judgment.
- Conserve Executive's time by reading, researching, collecting and analyzing information as needed, in advance.
- Complete ad hoc projects as assigned – such as personal events and/or family needs.
- Bachelor’s Degree in Business preferred and/or equivalent work experience
- 5+ years of experience in an Executive Assistant role supporting C-Suite level
- Strong computer skill with high level proficiency with Microsoft Excel, Outlook, PowerPoint, Word, and Concur
- Highly detail oriented with strong organization and time management skills
- Proactive business approach, with the ability to anticipate executive needs in advance
- Ability to build rapport across organization with peers and supervisors
- Excellent communication skills, both written and verbal
