Position Overview:
As an Executive Assistant, you will play a pivotal role in ensuring the smooth operation of our office by managing administrative tasks, maintaining schedules, and enhancing client relationships. This position requires a high level of discretion, organizational skills, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

  • Provide administrative support to the leadership team, including scheduling meetings, managing calendars, answering phones, and coordinating travel arrangements.

  • Prepare and organize client-facing materials, reports, and presentations.

  • Act as the primary point of contact for clients, maintaining a professional and welcoming demeanor.

  • Handle confidential information with the utmost discretion.

  • Manage office operations, including supply inventory, vendor coordination, and maintaining a professional office environment.

  • Assist with compliance and documentation related to client accounts.

  • Support marketing efforts by coordinating events, drafting communications, and maintaining social media accounts.

  • Perform other duties as assigned to support the team.

Qualifications:

  • Bachelor’s degree or equivalent experience preferred.

  • Minimum of 3 years of experience in an executive assistant or administrative support role, ideally within the financial services industry.

  • Strong organizational and multitasking skills with exceptional attention to detail.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with CRM systems.

  • Excellent verbal and written communication skills.

  • Ability to work independently and as part of a team in a fast-paced environment.

  • Professional demeanor and ability to interact with high-net-worth clients.

  • Knowledge of financial services or compliance requirements is a plus.
