Job Overview:


The Executive Assistant (EA) should be experienced, well-organized and proactive. As a key member of our team, the EA will be a linchpin in maintaining order and efficiency, ensuring support for the Owners activities and schedule. This role is ripe with opportunities to take on complex tasks and develop comprehensive organizational strategies.


Key Responsibilities:


The key job duties and responsibilities will include but are not limited to:


  • Calendar Management: Control, manage and prioritize calendars, plan meetings, appointments and conferences. Should be able to intelligently negotiate conflicting priorities.
  • Travel Coordination: Manage all aspects of travel.
  • Meeting Preparation: Carefully prepare meeting agendas, material and presentations. Attend meetings as required and follow up on action items.
  • Expense Management: Tracking and managing the executives expenses.
  • Administrative duties: Drafting emails and internal memos, preparing reports and managing correspondence. Creating presentations, acting as liaison to management team, manage workflow and deadlines. Maintain digital and hard copies, assist with project coordination, tracking and assigning tasks and monitoring timelines and completions.
  • Communications: Act as Spanish translator for Hispanic workforce.


Qualifications:


  • Bi-Lingual both verbal and written (Spanish)
  • Bachelors degree with a minimum of two (2) years of experience in an executive support role.
  • Superior communication skills, both verbal and written.
  • Strong customer service and administrative skills.
  • Detail oriented with exceptional organizational skills.
  • Proficiency in using Microsoft Office and other basic computer applications.
  • Ability to multitask, prioritize and manage time effectively.
  • Ability to manage high-level calendars
