Position Overview
We are looking for a proactive Hybrid Executive Assistant to provide critical support to our senior leadership team and manage daily office operations. This dual-role involves a mix of administrative duties, executive-level support, and maintaining the office's efficiency.
Responsibilities Executive Assistant:
- Oversee daily office operations, including AR/AP, expense reports, QuickBooks journal entries
- Manage office supplies, procurement, and vendor relationships.
- Coordinate office maintenance and ensure compliance with local health and safety regulations.
- Organize and facilitate company meetings and events. Assist with employee relations
- Provide administrative support to senior management, including managing calendars, travel arrangements, and communications. (Minimum 3 years required)
- Prepare reports, presentations, and documents for executives.
- Serve as a liaison between executives and internal/external stakeholders.
- Handle confidential information with the utmost discretion and professionalism.
- Oversee payroll management (minimum 2 year of experience required).
- Manage accounts receivable and payable processes (minimum 2 year of experience required).
- Ensure accuracy and timeliness in financial reporting and transactions.
- Bachelors degree or equivalent experience in office management, business administration, or a related field.
- Minimum of 2 years of experience in office management.
- At least 2 year of experience overseeing payroll.
- Experience with accounts receivable and accounts payable (2 year required).
- Minimum of 3 years of executive assistance experience.
- Proficient in Microsoft Office Suite, Google Workspace and other relevant software.
- Strong organizational, multitasking, and communication skills.
- Ability to work independently and as part of a team.
- Competitive salary: $60,000 - $70,000 (based on experience)
