Executive Assistant (Full-Time)
Location: Chicago, IL (On-site 2x Weekly)

Position Overview


We are looking for a proactive Hybrid Executive Assistant to provide critical support to our senior leadership team and manage daily office operations. This dual-role involves a mix of administrative duties, executive-level support, and maintaining the office's efficiency.

Responsibilities Executive Assistant:

  • Oversee daily office operations, including AR/AP, expense reports, QuickBooks journal entries
  • Manage office supplies, procurement, and vendor relationships.
  • Coordinate office maintenance and ensure compliance with local health and safety regulations.
  • Organize and facilitate company meetings and events. Assist with employee relations
Executive Assistance:

  • Provide administrative support to senior management, including managing calendars, travel arrangements, and communications. (Minimum 3 years required)
  • Prepare reports, presentations, and documents for executives.
  • Serve as a liaison between executives and internal/external stakeholders.
  • Handle confidential information with the utmost discretion and professionalism.
Payroll, Accounting, and Administrative Oversight:

  • Oversee payroll management (minimum 2 year of experience required).
  • Manage accounts receivable and payable processes (minimum 2 year of experience required).
  • Ensure accuracy and timeliness in financial reporting and transactions.
Qualifications


  • Bachelors degree or equivalent experience in office management, business administration, or a related field.
  • Minimum of 2 years of experience in office management.
  • At least 2 year of experience overseeing payroll.
  • Experience with accounts receivable and accounts payable (2 year required).
  • Minimum of 3 years of executive assistance experience.
  • Proficient in Microsoft Office Suite, Google Workspace and other relevant software.
  • Strong organizational, multitasking, and communication skills.
  • Ability to work independently and as part of a team.
