NRDC is seeking an Executive Assistant to work with the Executive Director, the Chief of Staff to the President and their senior leadership team in our DC office.

Position Summary

NRDC is seeking an Executive Assistant to provide high-level administrative support to the Executive Director, the Chief of Staff to the President and their senior leadership team in our Washington, DC office. This role works to primarily provide high level administrative support in the work of the Executive Director managing the organization and the work of the Chief of Staff to the President in her support of the President and management of the Executive Leadership Team. The Executive Assistant will also provide support to the senior leadership team in the Executive Office specifically to the Deputy to the Executive Director and to the Director of the Executive Office. ??

The Executive Assistants time is dedicated to handling a wide range of duties that support the administrative and managerial work, which includes but is not limited to: discreet project work, presentations, agenda/calendaring, coordination and planning of meetings, financial accounting, travel planning, event planning and other daily tasks and special projects. ?

The ideal candidate is a self-starter, independent thinker and quick learner who knows how to manage his or her own work and balance assignments. Excellent research, writing, interpersonal, and project coordination skills are required.??

The position reports to the Deputy to the Executive Director.



Responsibilities:
  • Provide high level administrative support to help ensure efficient day to day operations, including the creation and management of calendar, accounting, communication, travel planning and filing processes and systems.?
  • Support high level executives with time split as follows
    • Executive Director and Deputy to the Executive Director: 60%
      • ED: 45%
      • Deputy to ED: 15%
    • Chief of Staff and Director of the Executive Office: 40%
      • COS: 30%
      • Director EO: 10%
  • Provide complex calendar management and scheduling primarily for internal meetings with staff across multiple time zones and geographies. Calendar management includes meeting scheduling, reserving conference rooms/ordering catering if required, setting up video conference calls as needed, and coordinating travel arrangements.?
  • Staffing and coordination special efforts such as retreats, group meetings, Board meetings and committees.?
  • Manage material gathering, administer a collaborative online space for materials, and participate in meetings to take notes and help ensure meeting deliverables are met.?
  • Photocopying, mail handling, processing of letters/correspondence, monitoring/responding to email, file maintenance, and assist with completion of specially assigned projects.?
  • Assist the team to draft, edit, format and proofread memos, presentations, correspondence, and other materials.?
  • Organize travel throughout the United States and to India, China and other international destinations as necessary.
  • Ensuring communication, collaboration, and information-sharing within the office and with other institutional partners.?
  • Provide ad-hoc, hands-on support for a variety of projects and roles.?
  • Coordinate closely with other Executive Assistants to the Executive Leadership Team and other organizational leaders to ensure appropriate alignment of priorities and schedules.
  • Process expenses, contracts and track the budget for the Executive Office.?
  • Treat confidential information with appropriate discretion.?


Qualifications:
  • Bachelor's degree or equivalent experience.
  • Minimum of 5-7 years of administrative experience, with minimum 3 years supporting a senior leadership role.
  • Detail oriented with demonstrated ability to problem-solve, manage and organize multiple priorities, and work independently with appropriate decision-making within a face-paced environment.
  • Demonstrated professional communication skills, including both oral and written communication, proofreading and editing, and minute-taking on a tight schedule.
  • Demonstrated strong interpersonal skills, including a professional demeanor with employees and external constituents.
  • Good judgment and the ability to maintain confidentiality related to documents, correspondence and discussions.
  • Ability to quickly learn NRDCs accounting and contract processes and protocols, and other internal policies to ensure Centers operations maintain compliance.
  • Demonstrated proficiency in advanced Microsoft Office applications (including Word, Excel, and PowerPoint) with the ability to learn other technology and accounting platforms as needed.

We offer competitive salaries, excellent benefits, and a supportive working environment. Salary is based on a nonprofit scale and is commensurate with skills and experience. Internal equity will be reviewed and considered to determine a final offer. For this position, the salary range is $82,500 to $91,500.
