We are seeking a highly motivated and detail-oriented Executive Assistant to support our CEO in agency operations and contribute to the development of new business opportunities.


Job Overview:

The Executive Assistant to the CEO will play a crucial role in ensuring the smooth operation of the agency. This position requires a proactive and meticulous individual who can manage the CEOs schedule, assist in business development activities, manage special projects, correspond on behalf of the agency with stakeholders, vendors, partners, and clients; and oversee the management of both agency and executive social media accounts. The ideal candidate will be NYC-based and possess exceptional organizational and writing skills.


Key Responsibilities:

Schedule Management:

  • Coordinate and manage the CEOs calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prioritize and manage multiple tasks and projects simultaneously, ensuring that deadlines are met.


Business Development Support:

  • Assist in the development of new business initiatives by conducting research, preparing presentations, and coordinating with potential clients and partners.
  • Track and follow up on business development leads and opportunities.
  • Manage new business tools like Hubspot and outbound lead platforms.


Social Media Management:

  • Oversee and manage SMAKK Studios and the CEOs social media accounts (Linkedin and Instagram) ensuring consistent and engaging content.
  • Develop and implement social media strategies to enhance brand presence and engagement.
  • Monitor social media trends and analytics to optimize performance.


Administrative Support:

  • Prepare and edit correspondence, reports, and presentations.
  • Help manage content on the agency website.
  • Handle confidential information with discretion.
  • Assist with special projects and other duties as assigned.
  • Manage incoming and outgoing communications, including emails, phone calls, and mail.
  • Organize and maintain electronic file management systems.


Internal and Special Project Management:

  • Assist in managing and coordinating agency projects (like events and awards submissions), ensuring that deliverables are met on time.
  • Track project progress and provide regular updates to the CEO.


Qualifications:

  • Bachelors degree in Business Administration, Marketing, Communications, or a related field.
  • Proven experience as an Executive Assistant, preferably in a creative or marketing agency environment.
  • Exceptional organizational and time management skills.
  • Strong attention to detail and ability to work independently.
  • Excellent verbal and written communication skills.
  • Proficiency in Google Workspace, particularly Google Slides and Sheets.
  • Ability to thrive in a fast-paced, dynamic environment.
  • NYC-based with the ability to commute to the office as required (2-4 days per week)
