What You'll Do
Reporting directly to the Co-founder and CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the key contact for internal and external constituencies, including board, special projects, and senior management teams, related to the Office of the CEO. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven, and community oriented. The ideal candidate will have the ability to exercise good judgment in a variety of situations and demonstrate strong written and verbal communication, administrative, and organizational skills. They should consistently maintain a realistic balance among multiple, competing priorities. The Executive Assistant will have the ability to work independently on projects from conception to completion and must be able to work under pressure to handle a wide breadth of activities and confidential matters with discretion.
- Right-hand to the CEO: serves as the CEO's principal aide; works with the CEO to prepare for fundraising rounds; helps the CEO organize their schedule and find time to focus on growth; takes on additional projects as assigned by the CEO
- Executive Support: manages extremely active calendars of appointments; composes and prepares sensitive correspondence; arranges complex and detailed travel itineraries
- Communication: ensures organizational alignment with company priorities, and handles communications with investors and the board of directors
- Meeting Preparation and Facilitation: assists in scheduling meetings, records meeting notes, and prepares slides and reports for presentations on behalf of the CEO; compiles high level summaries and action plans
- Strategic Initiatives and Liaising: work with senior management and external stakeholders related to special projects; negotiating partnership and vendor agreements
- Building Infrastructure: oversees day-to-day office operations, including setting agendas, gathering updates, and tracking project progress; develops operational processes and systems to support rapid growth
What You've Done
- 3+ years of experience as an executive assistant in a C-level setting
- Bachelor's degree or equivalent
- Comfort with a fast pace hybrid setting and familiarity operating with a modern productivity tool stack including GSuite admin tools, gmail, slides, spreadsheet, calendar, Notion, Slack
- Demonstrated organizational skills and high attention to detail in a fast-paced, scaling environment
- Connected diverse teams across geographical and virtual boundaries
- Proven ability to self-start and thrive amidst a dynamic scope of work, ability to perform under pressure and time constraints, juggling multiple tasks
- Record of handling confidential information with discretion while adapting to dynamic, competing demands, and maintaining the highest level of stakeholder engagement
- Established an effective, empathetic, and compelling written and verbal style of communication (bonus points for fluency in multiple languages)
