Responsible for providing high quality, timely executive assistance to the Executive Vice President and other executives as assigned. These tasks require a significant level of trust and self-discipline/confidential discretion. Tasks will include moderate to advanced difficulty requiring excellent clerical skills in multiple areas.
Preference may be given for those that can be located in Indianapolis, IN, Clinton, IN or Fargo, ND. This position is eligible for remote work.
Responsibilities:
Administrative:
- Manage calendars, appointments and meetings for Senior Leadership
- Prepare agendas, presentations, materials and other documents for various meetings and events
- Create and maintain filing and other organizational systems
- Manage various memberships and ticket distribution
- Screen calls and mail in a professional and confidential manner
- Manage and oversee MasTec Renewables Charitable Contributions Committee, Charity Golf Event and other fundraising committees.
- Leads the production of the Renewable Energy Leadership Summit (RELS), including partnership with
- executives, vendor negotiation, and production planning
- Notarize and apply company seals on documents as requested.
- Assist with special projects as needed or requested from other departments.
- Accounting:
- Reconcile credit cards for Executive Leadership
- Complete expense reports for designated executive Leadership
Qualifications:
EDUCATION AND WORK EXPERIENCE REQUIREMENTS:
- Associates degree (A. A.) or equivalent from two-year college or technical school
- Five to seven years related experience and/or training or equivalent combination of education and experience.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Proficiency in Microsoft 365 Suite and all MasTec systems that are relevant to the support of Segment Executive roles.
- Exceptional confidentiality, ability to respectfully handle and resolve conflict, and demonstrated courtesy.
- and professionalism with all levels of the organization.
- Ability to stay extremely organized and successfully navigate competing priorities, strategic shifts, and organizational change.
- Write reports, business correspondence and procedure manuals.
- Effectively present information and respond to questions from groups of managers, clients, customers and the general public.
- Add, subtract, multiply and divide in all units of measure using whole numbers, common fractions and decimals.
- Compute rate, ratio and percent and draw and interpret bar graphs.
- Common sense understanding to carry out instructions furnished in written, oral or diagram form.
- Deal with problems involving several concrete variables in standardized situations.
