BerryDunn is seeking an Executive Assistant to support the Senior Executive Assistant and the Leadership Team. In this position, youll primarily manage the daily calendars for six executives, coordinate schedules, prepare meeting materials, handle reports and data entry, and draft documents including meeting minutes. As you gain experience, additional responsibilities will be integrated into your role. The ideal candidate will be reliable, organized, and able to build and maintain professional relationships, while upholding confidentiality and professionalism at all times. This role is based in Portland, Maine, and reports to the Senior Executive Assistant.
You Will:
- Manage and coordinate schedules for key firm executives
- Organize and schedule appointments and meetings
- Plan and coordinate travel and meeting arrangements (hotel accommodations, air travel, car rental, reserving conference rooms, parking arrangements for hosted guests, coordinating food and drinks for meetings)
- Assist in the preparation of reports and data entry
- Enter and track updates and completions of IT requests submitted through ServiceLink
- Prepare and coordinate group mailings
- Assist Sr. Executive Assistant with projects and event planning
- Prepare PowerPoint Presentations and reports for meetings and virtual events
- Draft minutes, action items and correspondence for meetings as requested
- Maintain electronic filing systems
- Assist other departments and groups as needed
- All other duties as assigned
You Have:

- Strong knowledge of Office 365 Software: MS Outlook, Word, Excel, PowerPoint, Adobe Acrobat
- 3-7 years of administrative experience in a professional services environment preferred
Compensation Details:
The base salary range targeted for this role is $60,000 - $70,000 annual salary. This salary range represents BerryDunns good faith and reasonable estimate of the range of possible compensation at the time of posting. If an applicant possesses experience, education, or other qualifications in excess of the minimum requirements for this posting, that applicant is encouraged to apply and a final salary range may then be based on those additional qualifications; compensation decisions are dependent on the facts and circumstances of each case. The salary of the finalist selected for this role will be based on a variety of factors, including but not limited to, years of experience, depth of experience, seniority, merit, education, training, amount of travel, and other relevant business considerations.
