PRIMARY EMPLOYMENT OBJECTIVES
Reporting directly to the Chief Executive Officer, works independently performing a wide range of complex and confidential administrative support duties. This pivotal role partners with the CEO to manage multifaceted responsibilities essential to seamless internal business operations. Manages complex calendars, organizes meetings, appointments, and coordinates travel arrangements. Requires excellent communication and interpersonal skills and ability to provide information and service to a wide range of internal and external contacts.

SPECIFIC ESSENTIAL DUTIES & RESPONSIBILITIES
Administrative Support
- Provide high level administrative support to CEO and Key Leadership Team.
- Cultivate strong connections with Key Leadership Team to facilitate communication and collaboration.
- Understand the CEO's priorities and strategic direction to help promote teamwork across departments.
- Take ownership of specific projects, coordinate tasks, and ensure timely completion aligned with strategic objectives.
- Oversee office management duties as assigned.
Travel Arrangements
- Plan and make travel arrangements and keep track of itineraries.
- Coordinate flights, accommodations, and transportation.
- Track and manage travel related expenses. Prepare accurate and detailed expense reports.
Meeting Coordination
- Schedules meetings, prepares necessary agenda/materials, and attends meetings.
- Takes comprehensive notes and minutes to ensure decisions and action items are documented accurately.
- Follows up on agreements, commitments, and action items to note progress and/or issues.
- Maintains meeting minutes, records, and files.
Event Planning
- Organize and coordinate events, offsites, and special functions for employees, Key Leadership Team and Board of Directors.
- Manages logistical details, coordinates with vendors, and oversees event execution.
Knowledge, Skill & Experience Requirements
- Bachelor's degree preferred, or an equivalent combination of education and experience.
- Five plus years of experience providing complex administrative support with tact and diplomacy in a fast-paced office environment.
- Excellent written and oral communication skills.
- Highly motivated problem solver.
- Excellent time management skills with proven ability to meet deadlines.
- Meticulous attention to detail and highly organized.
- Ensure good rapport with team members and establish positive work relationships.
- Proven interpersonal skills - outgoing, pleasant, helpful, collaborative.
- Ability to work across teams/functions and with a variety of projects and constituencies.
- Proficient computer skills within the Microsoft Office Suite and Outlook.
- Energetic, passionate, and demonstrates a "positive can-do" attitude.
- Ability to maintain a high level of confidentiality and discretion in all aspects of job responsibilities.
- Must be flexible to changing environments and competing requests.
- Ability to work independently and as part of a team.
- U.S. Government authorization required.
