Responsibilities include, but not limited to:

  • Provides administrative and office support to CEO, Executive Team, and Board of Directors. Acts as point person between the Executives, Board of Directors, and internal/external members.
  • Receives and routes incoming mail directed to the President/CEO, Senior Management Team, and Board of Directors. Prepares routine correspondence for signature of appropriate executive or official.
  • Intercepts CEO telephone calls, gives appropriate information to callers or routes call to appropriate executive or official and places outgoing calls.
  • Schedules appointments for President/CEO and Senior Management Team. Greets visitors on behalf of President/CEO and Senior Management Team, ascertains nature of business, and escorts visitors to appropriate person.
  • Manages travel logistics and activities including accommodations, transportation, and meals for all employees and elected/appointed volunteers. Prepares Business Travel Request forms for Board of Directors, Senior Management Team and other employees as needed.
  • Compiles and produces reports for President/CEO, Senior Management Team, and Board of Directors.
  • Assists the President/CEO in board related matters including notice of meetings, preparation of the monthly board reports, and generally assisting board members in their role as policymakers.
  • Compiles information and documents for monthly Board of Directors meeting. Creates monthly board package and posts meeting documents to the Board website. Initiates and completes Board meeting voting process. Maintains the Board of Directors portal.
  • Attends monthly Board of Directors meeting meetings. Records, transcribes, and distributes minutes of Board of Directors meetings. Attends monthly leadership meetings and other meetings as might be required to record, transcribe, and distribute minutes.
  • Prepares and submits (electronically) annual NCUA Report of Officials.
  • Maintains and reconciles $500 petty cash.
  • Arranges and coordinates on-site meetings and off-site events. Orders food and coordinates room setups for organizational meetings as needed.
  • Reconciles Senior Management Team’s credit card statement expenses.
  • Performs administrative duties for Credit Union of New Jersey Foundation. Schedules monthly meetings, prepares meeting agenda, gathers donation requests, transcribes minutes, processes approved donations, and manages fundraising efforts/events. Enters donations, cuts checks, and pull reports from QuickBooks for the Foundation.
  • Acts as administrator for organization’s policy program. Works with appropriate team members to add, delete and update credit union policies on an annual basis.
  • Acts as administrator for organization’s complaint system. Ensure all complaints are sent to the appropriate team member and responses to members and/or NCUA are sent in a timely manner.
  • Ensures appropriate electronic or printed copies of correspondence and documents are filed for easy retrieval when needed. Maintains corporate records and ensures proper archiving and storage.
  • Maintains office and Board kitchen supply inventory by checking stock to determine inventory level, anticipating needed supplies, placing orders for supplies, and verifying receipt of supplies.
  • Upholds a strict level of confidentiality at all times. Develops and sustains a level of professionalism with staff, members, and visitors.
  • Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies. Participates in required BSA regulatory and credit union training programs; and receives a passing grade on all required tests.
  • Assists in various department activities and performs other department support duties as might be assigned from time to time.

Minimum Requirements:

  • Experience working with a Board of Directors and organizing travel
  • College degree preferred; or two to five years related experience providing support at executive level and/or training; or equivalent combination of education and experience.
  • Strong analytical abilities, highly motivated, goal oriented, excellent member services skills with strong organizational and interpersonal skills.

This individual must be available for scheduling during Credit Union operating hours. Staffing assignments are periodically adjusted to meet business needs. This position could be transferred to another office in the same geographic region at any time.
