The Executive Administrative Assistant serves as a key point of contact between executives and internal/external stakeholders, ensuring seamless communication and coordination.
Key Responsibilities:
- Calendar Management:
- Schedule and coordinate appointments, meetings, and conferences for executives.
- Manage and prioritize executives' calendars, ensuring optimal use of their time.
- Communication Management:
- Screen and manage incoming calls, emails, and correspondence on behalf of executives.
- Draft, edit, and proofread documents, emails, and reports for executives.
- Travel Arrangements:
- Arrange and coordinate domestic and international travel plans, including flights, accommodations, and transportation.
- Prepare travel itineraries and ensure executives are well-informed about their travel arrangements.
- Meeting Preparation:
- Prepare agendas, materials, and presentations for meetings.
- Attend meetings, take minutes, and distribute relevant information as needed.
- Information Management:
- Maintain and organize executive files, documents, and records.
- Conduct research and compile data as required by executives.
- Relationship Management:
- Build and maintain positive relationships with internal and external stakeholders.
- Act as a liaison between executives and other team members or departments.
- Event Coordination:
- Plan and coordinate special events, conferences, and executive retreats.
- Assist in organizing company-wide events and celebrations.
- Confidentiality:
- Handle sensitive and confidential information with the utmost discretion.
- Ensure compliance with company policies and procedures.
- Proven experience as an Executive Assistant or in a similar role.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in office software (e.g., Microsoft Office Suite).
- Ability to handle multiple tasks and prioritize effectively.
- High level of discretion and confidentiality.
- Strong attention to detail and accuracy.
- Bachelor's degree in Business Administration, Management, or a related field.
- Previous experience supporting C-level executives is preferred.
