One of Wisconsin's largest and most progressive automotive dealer groups is looking for a skilled executive assistant to support the company's owner and senior executives at our corporate office. Your job will involve handling administrative, clerical, and business tasks for our senior management. This may include creating reports, drafting correspondence, taking meeting minutes, answering phones, handling customer concern calls, maintaining executive-level emails, and more.
To succeed in this position, you must have excellent multitasking and time management skills, a professional demeanor, and the ability to work quickly under pressure. Qualified candidates should also be proficient with the full Microsoft Office suite. Preference will be given to candidates who can prove they have succeeded in a similar role.
Executive Assistant Responsibilities:
- Answering all incoming calls to the corporate office, screen and direct phone calls to upper management
- Handling customer concern calls along with reviewing possible resolutions with executive managers
- Manage/maintain executive-level emails from manufacturers and various other business-related correspondence
- Assist with disseminating information to the broader executive team and delegating tasks to various company departments and senior management staff
- Create various reports and prepare the initial working drafts of correspondence and memoranda, as directed
- Collect documentation to respond to requests for business records, customer inquiries, collection efforts, and/or legal process
- Organize documentation from a wide variety of transactions, including critical file management
- Coordinate corporate meetings and training sessions by reserving meeting spaces, ordering refreshments, and reviewing/approving payments to support vendors
- Manage/order office supplies for the corporate office
- Organize/plan various corporate office outings and/or in-house events
- Provide general administrative support as needed
- Must have at least five years of experience as an executive assistant or similar role
- Professional verbal and written communication skills
- Experienced with all Microsoft Office products
- Confidentiality, integrity, and professionalism in handling sensitive information
- Strong time management and multitasking skills
- Ability to work quickly under pressure while maintaining attention to detail
- Problem-solving and decision-making skills
- Ability to act as a gatekeeper, determining which pieces of information need to be received by upper management
