POSITION TITLE: Executive Administrative Assistant
REPORTS TO: Executive Pastor
ROLE SUMMARY: Hillside Fellowship believes that Jesus Changes Everything! Our mission is to make disciples who press on to maturity, rooted in the word of God and empowered by the Spirit of God. The Executive Administrative Assistant supports the mission and vision of the church by providing high-level administrative assistance to the Lead Pastor, Executive Pastor, and Elder Board. The Executive Administrative Assistant serves as a trusted partner in ensuring organizational efficiency and effectiveness, fostering a professional and welcoming environment for staff, church members, and visitors.
DUTIES AND RESPONSIBILITIES:
- Serve as the primary point of contact for the Lead Pastor, Executive Pastor, and Elder Board.
- Manage correspondence, including voicemail, email, and regular mail, to ensure a smooth flow of communication to/from the Lead Pastor, Executive Pastor, and Elder Board.
- Prepare, proofread, and edit content and correspondence as needed.
- Provide basic project management support on a variety of projects.
- Assist leadership in prioritizing project-related tasks and serve as the primary point of contact for various project-related communications.
- Coordinate logistics for staff meetings, development retreats, and special events, including venue booking, catering, and travel arrangements.
- Manage calendars for the Lead Pastor, Executive Pastor, and Elder Board. Serve as the primary point of contact for meetings and other commitments.
- Plan and coordinate the overall membership process.
- Prepare reports, agendas, meeting minutes, and follow-up action items for Lead Pastor, Executive Pastor, and Elder Board.
- Order books, supplies, and other materials for the Lead Pastor, Executive Pastor, and Elder Board.
- Maintain the highest level of confidentiality regarding sensitive church matters, including pastoral care, financial records, and personnel issues.
- Provide additional general administrative support as needed.
- Demonstrates a maturing relationship with Jesus Christ and embodies the culture/values of Hillside (Galatians 5:22-23).
- Demonstrates a commitment to the mission, vision, and values of Hillside.
- A minimum of three years of experience in an administrative role is required. Experience within a ministry setting is preferred.
- An associate's or bachelor's degree in business administration, office management, or a related field is preferred.
- Must possess strong project management and administrative skills.
- Must have proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and familiarity with project management software (e.g., Slack, Asana), which is a plus.
- Must possess outstanding written and verbal communication skills.
- Must be highly detailed and possess a strong work ethic with a servant-leader's heart.
- Must have the ability to work independently and collaboratively in a faith-based environment.
- Ability to pass a background check is required.
- Must be a member of Hillside Fellowship or willing to pursue membership.
SCHEDULE: Mon-Fri, as well as occasional evening and weekend responsibilities
HOURS: Full-Time
STATUS: Exempt
