Job Title: Executive Administrative Assistant
Duration: 4-6 months
Location: Renton, WA (on-site)


Position Summary:
This position is responsible for performing ongoing administrative and secretarial support services of a complex, and often confidential, nature for a senior manager position and/or a group of professionals within PSMS. The role involves varied work that is generally administrative and/or project-oriented. Key responsibilities include managing calendars, correspondence, meeting and agenda preparation, handling logistical matters, and overseeing special projects. This individual will be expected to network extensively with the organization's management team and represent their supervisor in a positive and professional manner.

Job Duties Include:
  • Executive Support:
    • General calendaring, scheduling meetings, updating reference guides, and anticipating executive needs.
  • Rhythm of Business:
    • Manage distribution lists, department calendar, and coordinate all-hands meetings.
  • FTE / Contractor Management:
    • Onboarding/Offboarding, entering tickets, tracking status, and expediting service tickets and access requests.
  • Meeting Support:
    • Take notes, provide meeting recaps, draft agendas, and prepare/distribute meeting materials.
  • Events Coordination:
    • Organize on-site events, book conference rooms, and coordinate catering.
  • Travel Coordination:
    • Handle domestic and international travel arrangements, including flight tickets and hotel bookings.
  • Asset Management:
    • Send and receive equipment (e.g., computers, monitors) and work with the Service Desk for repairs.
  • Budget Support:
    • Collect and reconcile Amex expenses in Concur, assist the finance team with processing SMA purchase orders, invoices, and contract renewals.
  • Mission Ambassador:
    • Coordinate Providence charity volunteer events.
  • Other Duties as Assigned
Required Qualifications:
  • 2 years of university or college training in English, liberal arts, or related subjects; or graduation from a technical program in secretarial or office support services, or equivalent education/experience.
  • 4 years of experience as an administrative assistant or executive assistant, including up to 3 years working directly for a manager or executive.
Preferred Skills:
  • Highly organized and self-directed.
  • Previous experience in an IS/Data management organization.
  • Strong personal effectiveness and dependability.
  • Proficiency in Office 365 suite (Word, PowerPoint, Excel).
  • Strong written and verbal communication skills.

  • Project management experience.
