What are the Responsibilities of an Executive Administrative Assistant?
• Provide comprehensive administrative support to the CEO and COO, including calendar management, meeting coordination, and travel arrangements.
• Prepare and manage confidential correspondence, reports, presentations, and other documentation.
• Serve as the primary liaison between the executives and internal/external stakeholders, ensuring effective communication and follow-up.
• Coordinate and facilitate high-level meetings, including drafting agendas, taking minutes, and tracking action items.
• Manage expense reporting and budget tracking for the executive office.
• Plan and oversee logistics for special projects, events, and business travel.
• Anticipate the needs of the CEO and COO to proactively address issues and streamline operations.
• Travel as needed to support key initiatives, meetings, and events.
What Experiences and Education Do I Need to Bring To RLS?
• Proven experience as an Executive Assistant or similar role supporting C-suite executives, preferably in a highly regulated or healthcare-related industry.
• Exceptional organizational skills with the ability to multitask and prioritize in a dynamic environment.
• Strong written and verbal communication skills, with keen attention to detail.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other collaborative tools (e.g., Teams, Zoom).
• High degree of discretion, professionalism, and confidentiality.
• Ability to work independently in a remote environment while maintaining a collaborative mindset.
• Flexibility to travel as required (estimated 10-20% of the time).
