Job Summary
Exceptional Tours is a Home and Community Based Services Agency supporting people with intellectual/developmental disabilities. We are in search of a dynamic and proactive Executive Assistant located in the Southeast Region of Pennsylvania, to become part of our team. In this capacity, you will support the CEO/Executive Director and the Administrative Team. Responsibilities encompass answering phone calls, managing schedules, organizing meetings, handling correspondence and creating systems to improve workflow. The perfect candidate will be exceptionally organized, possess superior written and verbal communication abilities, and maintain a cordial disposition. The role requires an adept multitasker with robust critical thinking capabilities and problem-solving skills. Experience in the Human Service IDD/A field is a preferred, but not required.
Responsibilities
· Maintain the CEO’s calendar, including scheduling meetings and appointments
· Develop needed processes and documents to improve workflow
· Manage Invoices and Receipts for ET Travel
· Find activities/create quarterly calendar for ET Travel
· Correspond with Traveler's team (reminder emails)
· Maintain Provider Qualification Documentation Record (PQDR)
· Maintain spreadsheets for client referrals
· Manage Client admissions
· Maintain Contractor contacts list
· Create and distribute meeting and training meeting minutes
· Plan agency Events
· Ensure all records are kept confidential.
· Other duties as needed/required

Qualifications
- High school diploma/GED required, Associate’s degree or administrative training is preferred
- Previous experience as an Administrative Assistant or in a similar position
- Familiarity with standard office equipment such as printers and fax machines
- Excellent computer skills and knowledge of Microsoft Word, Outlook, Google Workforce and PowerPoint
- Highly organized with excellent time management skills and the ability to prioritize projects
