POSITION OVERVIEW:
We are seeking a highly organized and detail-oriented Executive Administrative Assistant to provide comprehensive support to the Executive Office. The ideal candidate will be a proactive problem-solver with exceptional communication and interpersonal skills, capable of thriving in a fast-paced environment. This role requires a strong sense of discretion, confidentiality, and the ability to anticipate needs
KEY RESPONSIBILITIES
- Administrative Support:
- Manage the General Manager's calendar, schedule appointments, and coordinate travel arrangements.
- Prepare and edit correspondence, presentations, and reports.
- Screen phone calls, emails, and mail, prioritizing and directing inquiries as appropriate.
- Maintain organized filing systems, both electronic and physical.
- Assist with expense reports and budget tracking.
- Guest Relations:
- Act as a liaison between the General Manager and guests, addressing inquiries and resolving concerns with professionalism and tact.
- Assist with VIP guest requests and ensure personalized service.
- Team Support:
- Provide administrative support to other departments as needed.
- Assist with meeting planning and coordination, including preparing materials and arranging logistics.
- Contribute to a positive and collaborative work environment.
QUALIFICATIONS and REQUIREMENTS:
- Experience: Proven experience as an Executive Administrative Assistant or similar role, preferably in the hospitality industry.
- Education: High school diploma or equivalent; associate or bachelor’s degree preferred.
- Skills:
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management skills with the ability to prioritize tasks.
- Ability to maintain confidentiality and exercise discretion.
- Exceptional interpersonal skills and a professional demeanor.
- Knowledge of hotel operations is a plus.
