Accounting Specialist

Status: Full-Time OR Part-Time

Summary

The Accounting Specialist will manage and oversee all financial operations for Funatix Events, playing a pivotal role in ensuring financial accuracy and compliance across the organization. This position involves managing event budgets, processing financial transactions, preparing comprehensive financial reports, and overseeing cash management. Additionally, the Accounting Specialist will provide bookkeeping and budgeting services for clients, furthering Funatix Events' commitment to delivering exceptional value and service.

Roles and Responsibilities

Financial Management and Reporting
  • Oversee accounts receivable invoicing and receipts, including daily activity reports.
  • Manage accounts payable by recording approved invoices, ensuring controls are in place over payments.
  • Reconcile bank accounts and adjust the general ledger as needed.
  • Review accounts receivable aging for potential errors and follow up on collections.
  • Prepare and review customer statements for clients, sponsors, and partners.
  • Reconcile monthly statements of major vendors to QuickBooks balances.
  • Prepare monthly balance sheet and income statements, comparing performance to previous years.
  • Generate income statements that compare actuals to budgeted amounts for management.
  • Review preliminary financials for unusual items or discrepancies between activities.

Payroll and Compliance
  • Oversee payroll processing, including tax and benefit payments, and ensure compliance reporting is accurate and timely.
  • Understand and comply with federal and state employment laws, generally accepted accounting principles, and other applicable regulations.
  • Coordinate with external financial entities such as tax accountants, CPAs, banks, and 401(k) administrators.

Budgeting and Strategic Support

  • Provide input and assistance in setting annual organizational budgets, including revenue projections, expense reduction suggestions, and transaction coding.
  • Support business insurance evaluations and proposal reviews to meet the organization's needs.
  • Provide input on employee insurance and benefit plans.

Cash and Asset Management
  • Oversee cash management procedures, including accurate handling and reconciliation of event cash flows.
  • Ensure timely weekly deposits and maintain thorough records for audit purposes.
  • Assist the VP of Operations and CEO with permits and licensing processes, including liquor, food, and raffle permits.

Client and Community Engagement
  • Provide best-in-class customer service, ensuring timely responses and resolutions for client inquiries.
  • Represent the team at networking events and community activities, building strong relationships.
  • Collaborate with team leadership to deliver unforgettable experiences for clients and fans.

Event Support
  • Execute assigned game day responsibilities and ensure smooth financial operations during events.
  • Work all home games and ballpark events, contributing to their success.

Other Responsibilities
  • Continuously seek process improvements in financial workflows and reporting.
  • Stay updated on industry trends, laws, and best practices to enhance operations.
  • Perform other duties as assigned.

Knowledge, Skills, and Abilities
  • Bachelor's degree in Accounting, Finance, or a related field.
  • Proficiency in QuickBooks and Microsoft Excel.
  • Knowledge of corporate finance, accounting principles, laws, and best practices.
  • Strong math skills with a high aptitude for computing and calculating figures.
  • Exceptional organizational, time management, and attention-to-detail skills.
  • Ability to meet deadlines, prioritize tasks, and think strategically.
  • Strong written and verbal communication skills.
  • Enthusiastic team player with a commitment to collaboration and a positive attitude.
  • Ability to handle multiple tasks in a fast-paced environment, including nights, weekends, and holidays as required.
  • Ability to represent the organization at community events professionally and effectively.
