Summary
The Accounting Clerk primarily supports the Purchasing Manager and Accounting Department as needed.
Essential Duties & Responsibilities
- Assisting the Purchasing Manager and performing Purchasing responsibilities as needed including entering purchase order requisitions and communicating purchase order numbers to vendors and University departments.
- Maintaining vendor database.
- Obtaining and updating W-9's for all vendors.
- Managing special projects.
- Managing the preparation of annual 1099-MISC information returns.
- Training new and existing University staff on Purchase order process and procedures.
- Assisting with the collection of auditor-requested information.
- Assisting the Accounts Payable Coordinator and performing AP responsibilities as needed including verification of check requisitions; serving as backup during vacations.
- Assisting the Controller and Assistant Controller with Accounting responsibilities as needed.
- Performing clerical responsibilities for the department.
- Performing all other duties as assigned.
Qualifications
The requirements listed below are representative of the knowledge, skill and ability required.
- High School Diploma or GED.
- Two or more years of purchasing and/or accounts payable experience preferred.
- Strong keyboarding skills and intermediate Excel abilities required; PowerPoint desirable.
- Strong interpersonal skills, including the ability to write routine correspondence independently and the ability to speak effectively to University staff and vendor representatives.
- Ability to calculate figures and solve practical problems and deal with a variety of variables in situations where some standardization exists.
- Ability to work independently and as part of the staff team.
- Service oriented skills.
- A commitment to the University's mission, values and strategic plan.
