We are looking for an experienced accounting professional with expertise in managing accounting, banking, payroll, and financial reporting functions, maintaining construction cost records, coordinating insurance coverages and property taxes, and reconciling reports from multiple entities, with proficiency in QuickBooks, Excel, and financial software tools.
Roles and Responsibilities
Accounting Functions (QuickBooks Desktop)
- Manage accounts payable, including vendor setup, 1099 forms, insurance tracking, and weekly check runs.
- Apply capitalization knowledge for fixed assets.
- Utilize classes and item costs to track building projects.
- Transfer building costs to CO-Construct (building software).
- Handle accounts receivable, including invoicing (QuickBooks and Excel), payments, and collections.
- Transfer data into Excel for creating spreadsheets and pivot tables.
Payroll (ADP)
- Process bi-monthly payroll entries.
- Manage insurance, commissions, and bonuses.
Banking (Online)
- Handle positive pay to monitor and prevent fraudulent transactions.
- Perform bank reconciliations and generate financial reports.
Property Taxes
- Track, protest, and ensure timely payments of property taxes.
Construction Costs
- Coordinate with utility companies to set up, modify, and terminate services.
- Use item costs in QuickBooks to code and track construction expenses.
Insurance Coverages
- Work with carriers to maintain appropriate insurance coverage for properties and operations.
Monthly Financials and Loans
- Reconcile and maintain loan agreements.
- Prepare monthly financial statements and reports based on activity.
- Present findings to owners and financial institutions.
Outside Entities (Corporate Umbrella)
- Duplicate and reconcile reports from outside entities into QuickBooks.
- Evaluate and report findings based on reconciled data.
Equipment and Software Expertise
- QuickBooks Contractors Desktop Edition (2021)
- QuickBooks Online (conversion in progress)
- Microsoft Outlook (management of 3 email accounts)
- Microsoft Excel (multi-spreadsheet creation and pivot tables)
- Co-Construct Building Software (preferred but not required)
