Duties of the Accounting Assistant:

Main area of focus
  • Reviews and processes vendor invoices.
  • Reviews and verifies employee expense reports.
  • Maintains vendor records in AP system.
  • Completes AP payments by check or schedules ACH and Wire Transfer payments through online banking.
  • Maintains historical AP records.
  • Prepares 1099's annually.
  • Responds to vendor inquiries regarding payment status.
  • Prepares analyses of accounts and produces monthly AP reports.
  • Provides suggestions and continually improves the payment process.

Serves as backup.
  • Maintains employee information in the UKG Ready HR/Payroll system to ensure accurate maintenance of employee/payroll records including employee change updates. Resolves discrepancies in preparation for accurate and timely payroll processing.
  • Reviews and ensures the accuracy of approved timesheets and communicates any issues with employee/supervisor.
  • Tracks and processes special payroll deductions, i.e., garnishments. Processes prior period adjustments as needed.
  • Prepares, processes, reviews, and reconciles bi-weekly payroll utilizing the UKG system.
  • Maintains consistent, accurate, and compliant payroll operations by following policies and procedures. Researches any payroll issues/discrepancies and performs necessary corrections.
  • Prepares monthly general journal entries as needed.
  • Assists with monthly reconciliations for general ledger accounts.
  • Maintains employee records and documentation.
  • Runs ad hoc HR/payroll reports within UKG.
  • Knowledge of accounting principles.
  • Strong Microsoft Excel skills.
  • Microsoft office suite experience.
  • Organization skills and the ability to work with interruptions.
  • High level of attention to detail and accuracy.
  • Effective communication and customer service.
  • Sound judgment, discretion, and ability to hold confidential information.
  • Initiative and problem-solving abilities.
  • Ability to cultivate good working relationships and enjoys communicating employment/pay/benefit matters.
  • Ability to communicate effectively.

  • Able to maintain a stationary position for prolonged periods.
  • Must meet the guidelines of acceptable attendance according to our Company Handbook.


Requirements

Minimum Qualifications:

High School Diploma or GED required

3+ years Accounting Assistant experience, including Accounts Payable experience.

2+ years Payroll experience.

Associate Degree or Bachelor Degree preferred

Experience with automated Payroll/HR systems; UKG Payroll system experience preferred.
