We are seeking a detail oriented Legal Secretary to support two or more attorneys in an insurance defense firm.  The Legal Secretary must provide a high level of comprehensive administrative /clerical support, and must adhere to timeliness and accuracy of all related work.  

Primary Responsibilities:

  • E-Filings and serving court documents (both State and Federal)
  • Handling calendaring and court-related deadlines including discovery deadlines, hearings, appearances, depositions, motions, expert discovery deadlines and expert depositions
  • Knowledgeable of all discovery deadlines and cut-off dates, law and motion cut-off dates, expert discovery deadlines and cut-off dates, and time requirements pertaining to the various methods of service
  • Drafting correspondence, memoranda, and other legal documents (i.e., pleadings, written discovery, discovery shells) submitting same for review, revising, redlining, comparing, proofreading, assembling, photocopying, and distributing final material as necessary
  • Client contact, contact with witnesses and opposing counsel  
  • Handling document production and organization. Organizing records, documents, correspondence, and files into a manageable format.
  • Subpoenaing medical records, films, and billings from treating providers and proactively monitoring the status of receipt of said records
  • Scheduling meetings and proceedings as needed, including but not limited to depositions, court hearings, etc.,
  • Making copies of documents for service; preparing envelopes and/or labels for said service.
  • Assisting others when needed

Necessary Skills

  • Thorough understanding and experience in court filing procedures, guidelines, and e-filing requirements as well as the ability to look up local rules of court (both State and Federal)
  • Ability to think and act independently and with minimal supervision
  • Prior experience in an insurance defense law firm  
  • Excellent organizational skills
  • Strong attention to detail and ability to meet deadlines
  • Flexibility
  • Outstanding time-management and typing skills
  • Ability to multitask
