Description

Position Purpose: We are seeking a highly organized and detail-oriented Executive Secretary to join our team at Eagle Financial Services Inc (EFSI) / Bank of Clarke, a publicly traded company. The Executive Secretary will play a crucial role in supporting Executive Management and the Board of Directors by managing board meeting minutes and handling investor relations. This position requires exceptional communication skills, discretion, and the ability to manage multiple tasks efficiently.

Position will support areas of Northern Virginia and the Shenandoah Valley, with hybrid work being a possibility.

What you'll do:
  • Board Meeting Minutes:
  • Attend all board and committee meetings and accurately record minutes.
  • Prepare and distribute meeting agendas, minutes, and other relevant documents.
  • Ensure timely follow-up on action items and decisions made during board meetings.
  • Investor Relations:
  • Directly support EVP Investor Relations
  • Coordinate and manage investor meetings, conference calls, and presentations.
  • Coordinate preparation and distribution of investor communications, including quarterly reports, press releases, and financial statements.
  • Maintain and update the investor relations section of the company website.
  • Administrative Support:
  • Provide high-level administrative support to the members of the Executive Management team including EVP Corporate Strategy and Investor Relations, Chief Financial Officer, Chief Operations Officer, and Chief Human Resource Officer, including managing calendars, scheduling appointments, and handling correspondence.
  • Organize and maintain confidential files and records.
  • Assist with the preparation of reports, presentations, and other documents as needed.
  • Communication:
  • Liaise with internal and external stakeholders, including board members, executives, investors, and regulatory bodies.
  • Ensure clear and effective communication between the President / CEO and other departments within the company.
  • Compliance:
  • Ensure compliance with corporate governance and regulatory requirements related to board meetings and investor relations.
  • Assist in the preparation and filing of required regulatory documents.


Requirements

Where you'll shine:
  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Proven experience as an Executive Secretary or similar administrative role, preferably in a publicly traded company.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive and confidential information with discretion.
  • Detail-oriented and able to work independently with minimal supervision.

Preferred Qualifications:
  • Experience in investor relations or corporate governance.
  • Knowledge of financial markets and regulatory requirements for publicly traded companies.

Working Conditions:

The individual will be required to be flexible during standard bank operating hours. Business travel may be necessary to attend meetings and training opportunities.
