Job Description
We are seeking a detail-oriented and organized Secretary III to join our team. The ideal candidate will independently carry out recurring office procedures, selecting guidelines or references appropriate to specific tasks. New assignments will include clear instructions, and completed work will be reviewed for accuracy. This candidate uses greater judgment and initiative to determine the approach or action to take in non-routine situations. Interprets and adapts guidelines, including unwritten policies, precedents, and practices, which are not always completely applicable to changing situations.
Key Responsibilities:
Respond to routine telephone requests with standard answers and refer calls and visitors to appropriate staff.
Manage incoming and outgoing mail, ensuring timely staff responses; may send form letters as needed.
Answer telephones, manage calendars, and arrange meeting rooms.
Review materials for government approval to ensure typographical accuracy and proper formatting.
Maintain internal reports such as time and leave records, office equipment listings, correspondence controls, and training plans.
Requisition supplies, printing, maintenance, and other services.
Prepare correspondence following the Navy Correspondence Manual and local directives and instructions.
Take and transcribe dictation accurately.
Establish and maintain office files.
Screens incoming correspondence and other tasks and responds to requests for information concerning office procedures.
Makes arrangements for conferences and meetings and assembles established background materials, as directed. May attend meetings and record and report on the proceedings;
Reviews correspondence for consistency and conformance with the Navy Correspondence Manual and local directives and instructions; assures that proper clearances have been obtained, when needed;
Collects information from the files or staff for routine inquiries on office program(s) or periodic reports. Refers non-routine requests to contractor lead;
Prepares materials needed by the Government for conferences, correspondence, and meetings;
Prepares special or one-time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence, other offices, etc., under general directions; collects, compiles, and analyses data.
Advises Secretary I and IIs on new procedures and requests information needed for periodic or special conferences, reports, inquiries, etc.
Required Skills:
Proficiency in Microsoft Office products, including but not limited to Excel, Access, PowerPoint, Visio, Word, Outlook, SharePoint, and Teams.
Strong organizational skills and attention to detail.
Excellent verbal and written communication skills.
Requirements:
Must be able to carry out tasks independently and handle recurring procedures with minimal supervision.
Ability to work effectively in a structured environment and meet deadlines.
