Primary Purpose:
Facilitate the efficient operation of the purchasing office and provide clerical services to the Purchasing Department.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Proficient skills in typing, word processing, and file maintenance
Effective communication and interpersonal skills
Basic math skills
Basic knowledge of Microsoft Word & Exce
Preferred Experience:
Three years of successful secretarial or clerical experience preferably in a related field

- Demonstrate acceptable work habits including teamwork, initiative and dependability.
- Report to work on time each day and follow timekeeping guidelines.
- Place public notices in newspaper and file advertising affidavits in bid folders.
- Order and maintain supplies.
- Oversee department calendar.
- Prepare correspondence, forms, reports, etc. for the assigned administrator.
- Assist in the management of the office budget.
- Manage and oversee District store cards
- Manage and facilitate District Amazon orders.
- Compile, prepare, and submit various reports for the purchasing office.
- Create vendor profiles and update as necessary.
- Receive incoming calls, take reliable messages, and route info to appropriate staff.
- Receive, sort, and distribute mail and other documents to staff members.
- Maintain office files.
- Maintain confidentiality of information.
- Perform routine bookkeeping tasks.
- Participate in in-service training programs.
- Keep informed and comply with all state and district policies and regulations concerning primary job functions.
- Assist in management of TEAMS information.
- Perform any other duties and/or tasks that may be assigned on an as needed basis.
