We’re seeking a motivated legal assistant for our busy law firm. Someone who can help our attorneys and paralegals, assist clients, and keep the office running smoothly. You’ll work with our team to prepare a variety of legal documents. You will handle office correspondence like answering emails and phone calls, scheduling meetings and travel, and reminding the team of upcoming deadlines. Responsibilities: • Accept other administrative tasks as needed to assist the team and ensure the firm runs smoothly • Ensure client billing is processed properly using daily time records with assistance from the accounting department • Conduct legal research, when necessary, with guidance from attorneys and paralegals • Make travel arrangements, schedule meetings and appointments for the team, such as depositions, and coordinate with outside vendors for events • Assist with the creation of various litigation documents, including pleadings, motions, subpoenas, affidavits, contracts, and briefs for case preparation, and proofread documents a needed Drafting Legal Forms and Documents • Preparing drafts of forms or basic documentation for Paralegals or Attorneys to review and approve. • Proofread all work prepared prior to submitting it to Paralegals or Attorneys. Calendar Reminders • Working with the Office Manager and Attorney, setting projected completion dates for casework. • Entering reminder tasks into the case management system. Communicate with Clients • Calls/Emails clients to request missing documentation or information. • Calls/Emails clients to relay information on behalf of the Paralegals and/or Attorneys. • Types dictations and prepare letters/communications to clients. Filing Records • The LA acts as the Case File Master while the case is active. • Assisting Paralegals and Attorneys in moving matters forward. • Keeping digital and physical files up to date. • Copying, scanning and organizing client files. • Controlling files to remain in File Library, when not in use. Pulling files from File Library when needed by Paralegal or Attorney. Miscellaneous office tasks assigned by Office Manager, Paralegal or Attorneys. Serves as backup to other administrative positions when they are out of the office or in need of extra support. Qualifications: • Associate’s degree, or some college is preferred; high school diploma or equivalent is necessary • Ability to comfortably use all Microsoft Office products • Able to meet demanding deadlines in a fast-paced environment • Experience with legal software, litigation case management, and docketing programs • 1-2 years of prior experience in a law firm environment as a secretary or administrative assistant Applicants must have excellent skills: • Interpersonal Skills • Written Communication Skills • Detail Oriented • Resourceful Five characteristics we believe you will need to demonstrate, to be successful at Roth Elder Law: • Professional • Adaptable • Client-Focused • Self-Motivated • Enjoys Learning Technical Skills • Good time management • Operation of office hardware (scanner, printed, copier, fax, etc.) • Operation of office software (case management system, server storage, digital libraries, etc.) • Must be able to learn new operating systems and programs. • Microsoft Office Suite (Outlook, Word, Excel, etc.) • Mac OS (Pages, Numbers, etc.) Compensation: $32,500 + bonus opportunities
