General Description:
Under the general supervision of the Manager, Operating Room, the Secretary II provides reception and secretarial support services in the Operating Room Office requiring advanced knowledge and experience in performing functions involving discretion and confidentiality.
Key Responsibilities
- Provides exceptional greetings either by phone or face-to-face for all visitors to Administration, demonstrating hospitality and superior administrative support service, ensuring exceptional customer care to all.
- Coordinates travel arrangements for all hospital staff and auxiliary, which include authorization, reservations, accommodations, travel reports, and reimbursements. Demonstrates reasonable judgment in using corporate credit card for accommodations to keep costs at a minimum.
- Receives incoming telephone and personal callers and screens those which, in the secretarys judgment may be transferred; personally, takes care of many matters and questions including answering substantive questions not requiring detailed research or technical knowledge.
- Demonstrates effective professional, interpersonal and communications skills inclusive of confidentiality issues.
- Responsible for typing and processing memorandums and documents as needed.
- Proactively assists other administrative staff in department, as available, on projects such as monthly Board packets, meeting minutes, and other "team" projects, as well as providing assistance to Board members on Board day, as needed.
- Reserves conference rooms as required. In the absence of an Administrative Assistant(s), assists in the monitoring of scheduled appointments, unannounced visitors and incoming/outgoing phone calls for VP's.
- Assists others in using clerical equipment as well as technical equipment for presentations. Ensures all clerical equipment such as fax, printer, and copiers are properly maintained.
- Attends monthly staff meetings to stay aware of policies and operational procedures.
- Maintains inventory of office supplies; re-stocking as necessary.
- Performs similar or related duties as assigned.
- Knows fire, disaster and safety procedures and regulations as it pertains to the work area.
Formal Education
- High School/GED required. AA or Vocational degree preferred.
