We have more than 45,000 outpatient visits, 20,000 ultrasound encounters, 2,500 deliveries, and perform over 2,500 gynecologic surgeries per year. Our physicians see patients at several offsite locations that are managed by the Department and operate at a number of hospitals, including Powers Health in Northwest Indiana and Northwest Community Hospital in Arlington Heights. The Department of Obstetrics and Gynecology is organized into eight clinical sections: Uro-gynecology, Gynecologic Oncology, REI, Family Planning, Maternal Fetal Medicine, General Obstetrics and Gynecology, Ultrasound, Genetics and Fetal Neonatal Center, and Minimally Invasive Surgery. Each is led by a section chief who is responsible for carrying out the strategy set for the section . The Department is ranked on the US News and World Report \'best\' list. Teaching and research are high priorities for the Department. The residency and fellowship programs are highly ranked and have a history of training leaders in healthcare. The Department also has a significant research enterprise, engaging in population health studies, as well as research conducted in wet laboratories on tumor biology and the mechanisms of hypertensive diseases in pregnancy. Additionally, the Section of Family Planning has established a unique research center, Cl3, which focuses on reproductive policy and innovations in sexual and reproductive health. Job Information Job Summary: This position will provide clerical support to departmental faculty mainly and various departmental programs. Responsibilities: Provide primary Outlook calendar management, phone coverage and receptionist duties for various OBGYN faculty members. Meet with faculty on a weekly basis to provide updates on existing action items and to determine what additional support is needed. Submit Qgenda requests for faculty. Primary responsibilities for answering the phone line for the Section of Gynecologic Oncology; includes occasional coverage of the phone line for the department chair. Respond to phone calls and emails in a timely and accurate manner. Assist faculty with scanning and documentation of procedures and patient encounters to ensure accurate record keeping and billing. Collect off-site operative and pathology reports and submit to the coding team for billing. Assist with coordination of faculty needs for off-site locations. Maintain lists and calendar reminders for off-site activities. Coordinate car service for travel to and from off-site locations on an as-needed basis. Transcribe clinical correspondence, business letters and compose correspondence as needed; includes processing of letters in Epic. Ensure that licensure and DEA renewal forms are processed in a timely fashion; appropriately handle Medical Staff credentialing applications at UCM and other area hospitals for all section faculty. Maintain professional society memberships and journal subscriptions. Perform record keeping and file maintenance tasks such as gathering, printing, sorting, and filing materials and data, both paper and digital. Clerical oversight of various department programs and meetings such as the Gynecologic Oncology weekly Tumor Board. Cascade peer support. Women-to-Women Program. Perform clerical sup ort such as making copies, scanning, sending faxes, taking meeting notes, maintenance of files office forms, correspondence and packages; deliver material throughout the campus and building. Coordinate travel for faculty. Process reimbursements and mileage for section faculty. Maintain confidentiality and discretion at a high level at all times. Other duties as assigned.
