  • Personnel must be or have been classified in this category or must pass the state prescribed exam for this position per West Virginia Code §18A-4-8e.
  • Criminal background check per WV Code §18-5-15c.

Title/Job Summary:

Secretary II is a person employed in any elementary, secondary, kindergarten, nursery, special education, vocational, or any other school as a secretary. The duties may include performing general clerical tasks, transcribing from notes or stenotype or mechanical equipment or a sound-producing machine, preparing reports, receiving callers, and referring them to proper persons, operating office machines, keeping records and handling routine correspondence. There is nothing implied herein that would prevent such employees from holding or being elevated to a higher classification.

Secretary III is a person assigned to the county board office administrators in charge of various instructional, maintenance, transportation, food services, operations and health departments, federal programs, or departments with particular responsibilities in purchasing and financial control or any person who has served for eight years in a position which meets the definition of secretary II or secretary III.

The employee shall remain free of any alcohol or non-prescribed drugs while in the workplace. Alcohol and controlled substances which affect employee productivity, safety or judgment in the workplace will not be tolerated.

Performance Responsibilities:

  • Maintain personnel records such as certifications and other forms as required by respective office.
  • Sort, stamp date received, and route incoming mail. Prioritize tasks. Answer and route incoming telephone calls.
  • Maintain confidentiality and exhibit ethical behavior as required by the position.
  • Maintain a positive, professional attitude and appearance at all time.
  • Receive and work with students, parents, public, and officials who enter the facility in a professional manner.
  • Maintain strict records and follow protocol for signing out students to authorized persons.
  • Practice good safety habits and have knowledge of basic first aid.
  • Be familiar with emergency preparedness and security procedures.
  • Administer medications as appropriate.
  • Order and stock office supplies and prepare invoices.
  • Perform bookkeeping and financial activities such as purchase orders, timesheets, books, bank statements, checks, and bank deposits using the computer program designated by the county treasurer.
  • Prepare correspondence using the correct format and grammar.
  • Proof correspondence, reports, and other documents for grammar, form, and mechanical errors.
  • Enter and retrieve information and data from the West Virginia Education Information System (WVEIS) related to the job.
  • Must be knowledgeable about the school breakfast/lunch program which includes daily breakfast/lunch activities, scheduling, reports, breakfast/lunch bills, and collections.
  • Must be knowledgeable about computer word processing, spreadsheets, databases, communication systems, etc.
  • Operate and monitor the maintenance of office equipment such as computers, copiers, fax machines, calculators, scanners, printers, etc.
  • Perform all other duties as assigned.

Evaluation: Evaluated annually by the building principal/immediate supervisor in accordance with WV State Code §18A-2-12, WV State Board Policy 5314. ?

Title:

Accountant I means a person employed to maintain payroll records and reports and perform one or more operations relating to a phase of the total payroll;

Accountant II means a person employed to maintain accounting records and to be responsible for the accounting process associated with billing, budgets, purchasing and related operations;

Accountant III means a person employed in the county board office to manage and supervise accounts payable, payroll procedures, or both;

  • Searches for and negotiates new vendor agreements and payment terms to ensure all available discounts and price break opportunities are identified and used;
  • Reviews new vendor and new product requests;
  • Acquires an extensive knowledge of the West Virginia Purchasing Policies and Procedures Manual, Board policies and administrative guidelines;
  • Maintains and processes approved purchase orders as assigned by the supervisor;
  • Prepares invoices for payment;
  • Performs various reconciliations as it relates to the assigned supervisor;
  • Prepares cash receipts listing and related deposits in accordance with the administrative guidelines;
  • Maintains and /or upgrades skills;
