Salary starting at: $38,596/yr.
Qualifications:
  • Associates degree or equivalent from two-year college, business or technical school; or two to three years related experience and/or training; or equivalent combination of education and experience.
  • Ability to read and comprehend complex instructions, correspondence, and memos. Ability to write correspondence.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
  • Satisfactory work record & criminal/child abuse clearances (Acts 34 and 151).
  • Proficient use of Microsoft Office programs, especially in Excel and Word. Must also be willing and able to become proficient in use of other software used by Department.
  • Consistent record of satisfactory work performance.

Summary

The Administrative Assistant will provide exceptional customer services to internal and external constituents and maintain confidentiality at all times in correspondence to Allentown School District's policies and procedures.
Essential Duties and Responsibilities
  • Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by supervisor.
  • Assists in maintaining accurate records related to the superintendent's progress toward achieving board identified goals.
  • Takes dictation in shorthand or by machine and transcribes notes on typewriter or computer, or transcribes from voice recordings.
  • Composes and types routine correspondence.
  • Organizes and maintains file system, and files correspondence and other records for the superintendent and project manager.
  • Answers and screens supervisor telephone calls, and arranges conference calls.
  • Coordinates supervisor's schedule and makes appointments for the superintendent and project manager.
  • Greets scheduled visitors and conducts them to appropriate areas or persons.
  • Arranges and coordinates travel schedules and reservations.
  • Performs secretarial duties and responsibilities as assigned by the superintendent.
  • Conducts research, and compiles and types statistical reports as required by the superintendent, project manager, and federal projects director.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.
  • Makes copies of correspondence or other printed materials.
  • Prepares outgoing mail and correspondence, including e-mail and faxes.
  • Orders and maintains supplies, and arranges for equipment maintenance.
  • Prepares agendas, minutes, and other documentation for meetings.
  • Maintains supervisor's budget.
  • Prepares reports for the superintendent and project manager.
  • Performs such other tasks and assumes such other responsibilities as may be assigned or delegated by the supervisor.
