GENERAL PURPOSE


Perform a variety of working level complex, legal secretarial duties designed to expedite legal services provided through the office of the County Prosecuting Attorney.


SUPERVISION RECEIVED


Work under the direct supervision of the Office Manager-Victim/Witness Coordinator and either the Supervisor/Legal Secretary III or the Supervisor-Victim/Witness Coordinator as assigned.


Work under the general supervision of the Prosecuting Attorney or Deputy Prosecuting Attorney(s) on a case-by-case basis.

ESSENTIAL FUNCTIONS


Review complaints, information, indictments, warrants, jury instructions, briefs, releases, transcripts of grand jury testimony, and other sensitive documents for consistency and accuracy.


Access various computerized data retrieval systems, gather information for document preparation; operate computer to transfer data from a variety of legal sources into automated case tracking system; verify accuracy of information both on source documents and as entered into computer data/information base; assist in the design of management assistance and review programs related to automated tracking system; generates various reports.


Compose and type general correspondence for attorneys, including letters, inter-office memoranda, legal documents and opinions; compose legal forms and documents according to generally established guidelines; compose formats for responding to formal requests or demands for action in litigation.


Compose and type legal forms such as petitions, orders, motions, civil and criminal complaints, information, indictments, jury instructions, notices, subpoenas, legal briefs, search warrants and returns, discovery responses, writs of various kinds and related documents and forms;

prepare charging packets. File prepared documentation with Court and defense using the Supreme Court e-file system.


Calendar due dates for various criminal case processes; assist attorneys in meeting various case deadlines; calendar court dates and schedules hearings; prepare court or calendar call materials, assure that all files for review or courtroom are prepared; prepare jury instructions, witness exhibit lists and subpoenas; assure proper notification is given to police officers, witnesses or others involved; may accompany attorneys at hearings and assist with case materials as needed.


File case files according to established alpha or numeric systems; operate word processing equipment as needed to perform various work projects.


Forward subpoenas to proper agency for service; opens files, type log sheets, assigns file numbers; follow established procedures as needed to receive, document and process witness claims.


Take dictation of various kinds, including complaints, information, indictments, search warrants, orders legal briefs, correspondence and other documents from attorneys.


Transcribe transcripts of highly confidential and sensitive interviews of witnesses, victims, informants, and suspects.


Answer telephone and give/take messages from attorneys, probation officers, police officers and the general public; apprise callers of status of various cases; exercise judgment related to confidentiality and propriety of case, hearing, warrants and related sensitive material.


Ability to maintain regular, reliable patterns in work product and attendance according to Bonneville County's expectations.


Perform other job-related duties as assigned or required.


MINIMUM QUALIFICATIONS


1. Education and Experience:


Graduation from high school with course background in general office skills; plus one (1) year of specialized course work in legal secretarial sciences or a related field;


AND


Three (3) years of experience as a legal secretary or in some other comparable position providing exposure to legal terminology, methods, and procedures;


OR


An equivalent combination of education and experience.


2. Required Knowledge, Skills, and Abilities:


Considerable knowledge of modern office practices and procedures; legal terminology, grammar, punctuation, English, etc.; the legal procedures of trials and courts; modern office practices and procedures; various processes related to criminal document processes; the operation of personal computer and various software applications for word processing, spread sheets, data base management and desk top publications; Idaho code, law library and various case material sources.


Ability to perform secretarial duties involving legal terminology and format; conduct basic research into case materials, codes, laws, and case law to locate materials as directed; maintain filing and record keeping system. Ability to work with the public and develop effective working relationships; ability to communicate effectively, verbally and in writing; ability to operate a calculator, copy machine, and other types of standard office equipment.


3. Special Qualifications:

  • Must meet all security requirements for background check, fingerprinting, and drug testing.
  • Proficient typing skills

4. Work Environment:


Incumbent of the position performs in a typical office setting with appropriate climate controls. Tasks require a variety of physical activities, not generally involving exertion, such as walking, standing, stooping, sitting, reaching, talking. Interpersonal communication is essential to successful completion of job duties. Common eye, hand, finger, dexterity required. Mental application utilizes memory for details, verbal instructions, emotional stability, critical thinking and creative problem solving. The ideal candidate must be able to complete all physical requirements of the job with or without a reasonable accommodation.
