Thompson Coe, an Insurance Defense law firm, is seeking a full-time Legal (Litigation) Secretary to provide secretarial support to 4+ attorneys. Qualified candidates must have the following knowledge, skills and abilities:
Job Duties:
- Provides administrative support to litigation attorneys in the practice of law; may require some appellate work;
- Assists in preparing for hearings, trials, mediation, arbitration, depositions, meetings, etc. in a fast-paced, high-volume litigation practice;
- Types pleadings, discovery, briefs, status reports, and correspondence from dictation;
- Maintains, organizes, and manages client files;
- Knowledge of state and federal litigation deadlines – docket/calendar deadlines;
- Exercises discretion and maintains information of a confidential nature;
- Experience using a document management system; preferably iManage;
- Ability to E-file in both State and Federal courts;
- Maintain attorney calendars;
- Open new client/matter files, request conflict checks;
- Complete check requests/tracking and entering invoices;
- Enters attorney time into the billing system;
- Assists with providing coverage when "buddy" secretary is out of the office (ability to work as a team);
- Superior written and communication skills;
- Handles multiple tasks simultaneously;
- Works occasional overtime, as needed;
- Other duties as assigned;
Qualifications:
- Five (5+) plus years of recent litigation experience in a law firm; preferably insurance defense;
- Advanced knowledge of the litigation process; rules of procedure; excellent litigation, secretarial, grammar, and proofreading skills;
- High proficiency in MS Office Suite;
- Ability to operate standard office equipment;
- Ability to turn constructive feedback into best practices for future use;
- Ability to communicate professionally and effectively with co-workers, clients, courts and opposing counsel and be proactive about seeking clarification of ambiguities;
- Ability to read and understand attorney mail and email;
- Ability to work positively within a team environment;
- Typing speed of 65+ words per minute;
