Position Title: High School Freshman Campus Building Secretary

Reports To: HHSFC Principal

Location: Howell High School Freshman Campus

Status: Eight (8) Hours per Day, 10 Months, Non-Exempt

Union Affliation: HESPA

SUMMARY:

The High School Freshman Campus Building Secretary assists, supports, and works closely with the principal and front office team to enhance the professional and efficient operation of the school so that the maximum positive impact on the education of children can be realized.

ESSENTIAL FUNCTIONS:
  • General office duties including answering the telephone, taking messages, transferring calls, answering questions, filing, copying, computer use, PA system, correspondence, and sorting/distributing mail.
  • Secretarial duties to building principal.
  • Attend to students, parents, building staff, district staff, and visitors.
  • Arrange and schedule appointments for the principal.
  • Schedule calendar appointments for principal, assistant principals, support staff and teaching staff (meeting dates, District calendar dates,
  • Must be familiar with all procedures throughout the building.
  • Coordinate student needs with transportation department, food service, building staff, Guidance Department and Media Center.
  • Collect and manage all student Medication Authorization Forms renewed each school year.
  • Manage storage of student medications; dispense medication to students and record keeping of medications given daily.
  • Care of ill/injured students and subsequent communication with parents/guardians.
  • Maintain log of student illness/injury.
  • Completion of accident reports.
  • Support all offices throughout 10-12 Campus and Freshman Campus.
  • Support Personnel Office and Payroll Department with staff document processing and return.
  • Process and organize all Volunteer Release forms.
  • Process Day Field Trip and Overnight Field Trip requests.
  • Support various groups within the high school (Interact, Leadership, Marketing, NHS, Newspaper, Student Council, Yearbook, PTMO, etc.)
  • Process payroll for non-certified staff and certified staff.
  • Preparing the bi-weekly leave report
  • Order envelopes, stationary, and office supplies for the main office.
  • Process purchase orders, check requests, golden rod, etc. for any main office, building or principal related items.
  • Arrange staff luncheons, faculty meeting snacks, in-service breakfasts, and coordinate PTMO Conference and staff appreciation meals.
  • Coordinate Count Day (Pupil Accounting October/February)
  • Prepare Travel Time Reports quarterly
  • Organize Orientation Day/Open House
  • Record Staff Compensatory Time
  • Monitor Student Attendance
  • Reconcile AESOP weekly, secure subs as needed
  • Create and maintain Teacher Locator
  • Create and maintain sub folders
  • Maintains regular, predictable attendance.
  • Other duties as assigned

EDUCATION AND EXPERIENCE:
  • High school diploma or equivalent.
  • Successful completion of the HPS secretarial exam - MUST BE COMPLETED PRIOR TO APPLYING. Please email swansonc@howellschools.com for test schedule.
  • Prefer prior clerical experience within a public school setting.
LANGUAGE SKILLS:
  • Ability to effectively present information and respond to questions from administrators, students, staff and the general public consistent with the duties of this position.
  • Ability to read and comprehend instructions and correspondence.
MATHEMATICAL SKILLS:
  • Ability to add, subtract, multiply and divide in all units of measure consistent with the duties of this position.
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations consistent with the duties of this position.

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists consistent with the duties of this position.

  • Must know how to operate and maintain: copy machines, telephones, computers, etc.
