Job Description
Job Title: Parish Secretary
Department: Parish Office
Job Grade: S-4
Category: Non-Exempt (20 hrs. per week)
Reports to: Office Manager
Position Overview:
The Parish Secretary is responsible for providing comprehensive administrative support to the parish, ensuring smooth and efficient operations. The Parish Secretary is responsible for the day to day management of office functions. Working collaboratively with office volunteers and staff to ensure all duties tasks are completed in a timely manner. The Parish Secretary will be the first point of contact for parishioners and visitors.
Essential Job Functions:
•Ministry/Service
Assists callers, visitors, staff, and clergy
Welcomes new member, referring them to ministries
· Office management/operations
o Schedules and trains office volunteers
o Provides secretarial support to Pastor, Office Manager, staff and ministries
o Processes mail – daily and bulk mailing
o Responsible for the preparation, printing/posting of weekly bulletin, newsletter, presider’s book, lector’s book, and articles of interest.
o New member management:
o Maintenance and administration of envelop offering process, welcome letters, entering new members into database, distribution of new member info. to ministry leaders as indicated, and helping with invitation to new member brunch.
o Oversees the maintenance of parish calendar and facility schedule and monitors facility keys.
o Order and maintain office supplies and equipment.
o Support the pastor and staff with administrative tasks.
o Maintain confidentiality of sensitive information.
o Provide general office support and reception duties.
o Prepares and distributes meeting agendas and minutes.
Non-Essential Job Functions:
• Participates in Pastoral Staff meetings, Staff Retreat days, and Deanery Meetings.
• Attends parish functions when possible.
Requirements
· Excellent organizational skills and time management skills required
· Ability to handle multiple tasks and prioritize effectively
· Proficiency in the use of office software, or willing/able to learn. requirements.
· Discretion and the ability to maintain confidentiality.
· Experience in administrative role.
· Strong computer skills, word, excel.
· Strong interpersonal skills and ability to work with diverse groups.
· Attention to detail and accuracy in work.
· Ability to work independently and as part of a team.
· Familiarity with parish operations and Catholic traditions is a plus.
· Strong problem -solving skill sand ability to handle emergencies
· Proficiency in using office equipment such as printers, copiers.
· Commitment to the mission and values of the parish.
