Job Summary:
We are seeking a highly skilled and organized Bilingual Secretary fluent in both Spanish and English to join our team. The ideal candidate will have experience with QuickBooks, certified payroll processes, and handling legal and accident claims. This individual will play a key role in maintaining efficient office operations, providing exceptional administrative support, and ensuring clear communication with clients and partners.

Key Responsibilities:

  1. Administrative Support:

    • Perform general clerical duties, including filing, data entry, and maintaining organized records.
    • Answer and direct phone calls efficiently, ensuring professional and clear communication in both Spanish and English.
  2. QuickBooks Management:

    • Manage financial records and assist with accounts payable/receivable tasks.
    • Generate reports and ensure accurate financial data entry.
  3. Certified Payroll Processing:

    • Prepare and submit certified payroll documentation accurately and on time.
    • Ensure compliance with labor laws and regulations.
  4. Accident Claims and Lawsuit Handling:

    • Coordinate and handle accident claims, including gathering necessary documentation.
    • Liaise with legal representatives regarding lawsuits, ensuring timely communication and follow-ups.
  5. Communication and Translation:

    • Serve as the primary point of contact for Spanish-speaking clients and stakeholders.
    • Translate documents and correspondence between English and Spanish as needed.
  6. Office Coordination:

    • Manage office supplies and equipment inventory.
    • Schedule meetings and maintain the office calendar.

Qualifications:

  • Fluency in Spanish and English (mandatory).
  • Proficiency in QuickBooks with a strong understanding of bookkeeping practices.
  • Experience with certified payroll processes and documentation.
  • Excellent phone etiquette and verbal communication skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Familiarity with accident claims and basic legal procedures is preferred.
  • Strong organizational skills and attention to detail.

Preferred Skills:

  • Knowledge of industry-specific regulations related to payroll and labor laws.
  • Prior experience in a legal or financial administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
