Overview:

This is clerical and keyboard support work of moderate difficulty and complexity requiring taking and transcribing dictation and performing a variety of tasks requiring independent work decisions within established policies and timeframes.
Takes and transcribes dictation, performs skilled keyboarding and clerical work or moderate difficulty and complexity, usually requiring familiarity with specialized terminology and/or various software packages.

Responsibilities:

- Establish and maintain positive relationships with patients, visitors, and other employees. Interacts professionally, courteously, and appropriately with patients, visitors and other employees. Behaves in a manner consistent with maintaining and furthering a positive public perception of Bronx-Lebanon Hospital Center and its employees.


- Contributes to and participates in the Performance/Quality Improvement activities of the assigned department. Contribution and participation includes data collection, analysis, implementation of and compliance with risk management and claims activities, support of and participation in Continuous Quality Improvement (CQI) teams, consistent adherence to the specific rules and regulations of the Bronx-Lebanon Hospital Center (a) Safety and Security Policies, (b) Risk Management: Incident and Occurrence Reporting, (c) Infection Control Policies and Procedures and (d) Patient and Customer Service.

- Takes and transcribes dictation and meeting notes, and, utilizing a keyboard, types and edits a variety of material, frequently involving technical or specialized terminology.


- Composes routine correspondence; proofreads and/or finalizes letters, memoranda, reports or other documents for approval or signature.


- Screens and appropriately distributes messages and mail; schedules and/or arranges appointments; arranges travel and accommodations; receives and provides general information.


- Establishes and maintains filing systems; prepares records for storage and/or archiving.


- Enters and updates information in automated systems; develops routine spreadsheets and databases; utilizes various software packages in the performance of duties.


- Complies and summarizes data or reports from a variety of sources in accordance with specific instructions or procedures.


- Prepares purchase and supply requisitions, personnel and/or payroll records, time and leave records, expense accounts, or other program or agency documents; maintains equipment and supply inventory.


- Reviews documents for accuracy, completeness and compliance.


- Operates standard office equipment.


- Serves as lead worker or supervisor providing guidance, direction and training to a small group of clerical employees; reviews work for accuracy, timeliness and compliance with instructions and procedures; evaluates employee performance as assigned.



Qualifications:

- At least two (2) years experience in clerical or general office support work
Training from a vocational or business school in office management, secretarial science or closely related areas

- High School or GED

- Associates

- Working knowledge of computer information systems and software

- Ability to prepare spreadsheets and reports

- Skill in the use of a keyboard
