Unit Secretary - Whittier Rehab Hospital - Bradford
Per Diem
Base Pay:  $19.00-$23.00 per hour

ESSENTIAL:
1)   Maintains Medical Record.
            1.1        Transcribes doctors’ orders/renewals and per physician/designee, which will be checked by licensed staff.
            1.2        Completes requisitions for tests and procedures and schedules them with the respective departments per physician/designee.
            1.3        Enters orders through CPSI.
            1.4        Recopies expiring forms (MAR) under the direction of the licensed nurse.
            1.5        Initiates, receives and forwards labs and other information to licensed staff and files in appropriate sections of the chart.
            1.6        Adds blank forms to chart as needed.
            1.7        Thins chart of excess material when it becomes to full, according to policy.
            1.8        Maintains confidentiality in all office, departmental, Hospital, employee and patient-related business.
      2)   Maintains communication as the central communication hub on a designated unit.
            2.1        Answers the telephone in a courteous and efficient manner and relays messages appropriately and in a timely manner.
            2.2        Communicates with the interdisciplinary team members regarding scheduling patient’s activities and tests.
            2.3        Acts as a resource to families, patients, visitors and staff on the patient care unit.
            2.4        Assists in coordinating patient charge cards.
            2.5        Schedules follow-up and other appointments for outside the facility and makes arrangements for transportation as ordered by physician.
            2.6        Coordinates patient consults (podiatry, psych, etc.) in-house and outside the facility per physician order.
            2.7        Communicates with interdisciplinary team members regarding scheduling patient appointments.
            2.8        Demonstrates appropriate communication/interaction with patients, families, visitors, and employees, taking into consideration culture, age and developmental level.
            2.9        Collaborates with other unit secretaries to assure continuity of information.
            2.10      Appropriately utilizes equipment necessary to maintain unit communication systems, (i.e., telephone, facsimile, computer, copy machine).
      3).  Prepares for patient and admission and discharge.
            3.1        Communicates with licensed nurse and physician upon patient arrival at the Hospital.
            3.2        Prepares admission charts for current admission and obtains any previous medical records.
            3.3        Copies information related to discharge, follow-up appointments and post discharge and forwards to appropriate receiving facility.
            3.4        Photocopies pertinent information from medical records for appointments, transfers, lab tests, etc.
      4).  Maintains a clear, safe and functional working environment within the nursing station.
      5).  Maintains necessary office supplies for the nursing unit.             
      6).  Attends mandatory educational programs.
      7).  Responsible to maintain certifications.
      8).  Other duties as designated by the Director of Nursing and Clinical Services.
      9).  Assists in the orientation and training of new staff members.
    10).   Participates in staff meetings.

    11).   Refrains from behavior or conduct deemed offensive, or undesirable, or which is subject to disciplinary action.
    12).   Reflects positive image to the community.
    13).   Demonstrates knowledge and understanding of the impact of disability upon an individual’s, as well as families’ physical, emotional, social, economic and vocational status, taking into consideration age-related issues, and developmental levels over the life span (i.e., the adolescents’ need to develop their own identity, independence, and adjust to the physiological aspects of aging), and meets competency requirements for the population served (adolescents through geriatric), as applicable to the job description.

PREREQUISITES:
      1)   High School Diploma required.
      2)   Ability to read, write and comprehend medical terminology.
      3)   Previous experience preferred.
      4)   Degree/Certificate in Medical Terminology preferred.
      5)   Knowledge of growth and development across the life span.
