Duties & Responsibilities: (Essential Functions of Position, Major Responsibilities, Summary of Key Duties, Special Assignments, Relationships)
+ Successful candidate will be able to perform the duties and responsibilities of the position independently and with little or no supervision from a supervisor.
+ Serve as primary point of contact in the District Athletic Department for district personnel and departments, parents, students, officials, outside vendors, conference schools, and members of the community.
+ Establish and maintain an effective working relationship with officials, activities office staff, athletic directors, accounting department staff, human resources staff, purchasing office staff, Mississippi Athletic Conference staff, and IHSAA and IGHSAU staff.
+ Develop and implement new materials that enhance the operation of the athletic program.
+ Prepare and update athletic forms and materials.
+ Assign officials including issuing contracts, verifying registrations, collecting W9s, and setting up for payment either by payroll or accounting.
+ Maintain a high level of confidentiality.
+ Compile and maintain the master schedule of athletic events.
+ Prepare athletic payment requests.
+ Monitor District athletic budgets.
+ Issue and reconcile athletic department P-cards.
+ Process athletic equipment and supply requests including: prepare quotes for vendors, select successful quotes, and prepare requisitions.
+ Reconcile transportation charges for team travel.
+ Maintain season records archives.
+ Arrange for state team/individual travel for the entire District.
Physical Requirements of Position:
+ Ability to routinely lift/carry office supplies and printed materials weighing up to 25 pounds, occasionally lift up to 50 lbs.
+ Ability to hear and understand speech at normal levels in person and/or on the telephone
+ Ability to communicate so others will be able to clearly understand a normal conversation in person and /or on the telephone
Ability to operate computer, calculator, copy machine, telephone, other office equipment with dexterity and in a safe and efficient manner
Special Qualification Desired: (Personal Qualities, Education, Skills Needed, Experience, Etc.)
+ Proficient in Word, Excel, and Google Docs.
+ Experience with BusinessPLUS, Arbiter, School Dude, DragonFly and Varsity Bound.
+ Excellent written and verbal communication.
+ Good attendance is mandatory for the success of the person in this position.
+ Must maintain a high level of confidentiality due to the sensitive nature of working with the District budget and payroll for both internal people and contracted employees from the City of Davenport.
+ Successful candidate must possess strong interpersonal skills working with a diverse clientele.
+ Ability to work independently, including budget management, strong follow-through, and organizational skills.
+ Strong attention to detail.
+ Handle confidential work with tact and discretion including determining what is confidential.
+ Operate standard office machines.
+ Candidate will be required to take an assessment based on the duties and responsibilities of the position which will include both a written and computer competency component.
