Job Title: Medical Secretary CWR
Location: Glen Ridge, NJ 07028
Hours Per Week: 40
Schedule: Monday to Friday, 8:00 AM - 4:30 PM or 8:30 AM - 5:00 PM (5x 8-hour shifts, no weekends, no holidays, no on-call)
Job Summary:
The Medical Secretary CWR will provide administrative support to the Medical Staff Coordinator, Medical Director, and Vice President of Medical Administration. This includes gathering, coordinating, and distributing data, minutes, and correspondence related to the functioning of the Medical Staff. The role involves supporting various Medical Staff functions and assisting with committee and department meetings.
Key Responsibilities:
- Coordinate and provide staff support for Medical Staff functions, including meetings for the Department of Medicine (Perth Amboy and Old Bridge Divisions), Quality Assurance Committee, and Graduate Medical Education.
- Assist with the Physical Diagnosis Course, Physician Assistant Program, and Internal Medicine Residency program, under the direction of the Assistant Director of the Residency Program.
- Ensure proper meeting room assignments and reservations, providing members with at least two weeks’ notice of scheduled meetings, and prepare meeting agendas.
- Attend meetings as required, take minutes, and produce accurate meeting notes within one week for review and approval.
- Type correspondence and follow up on action items from meetings.
- Maintain attendance records for all medical staff meetings.
- Produce and communicate on-call schedules for the Department of Medicine and its divisions.
- Maintain and distribute physician mailboxes and related materials.
- Perform general secretarial duties to support Medical Staff activities, including answering and making phone calls, managing Medical Affairs mail, and coordinating office supplies and equipment requests.
- Provide back-up support to other secretaries within the Medical Affairs Division as necessary.
- Perform additional duties as assigned by the Medical Staff Coordinator, Medical Director, or Vice President of Medical Administration.
Required Skills & Experience:
- Four years of secretarial experience or equivalent education/experience.
- Proficiency in PC office software.
Preferred Skills & Experience:
- Health or hospital-related experience preferred.
- Secretarial science education or comparable experience is a plus.
Education:
- High school diploma or equivalent required.
- Post-high school coursework in medical terminology preferred.
