POSITION PURPOSE:

Performs a variety of secretarial and general office assistance duties in support of the Title I department. Responds to inquiries and researches replies to questions posed by school system staff, parents, and others seeking information about Title I programs and activities.

MINIMUM QUALIFICATIONS:

KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)
  • Considerable knowledge of Microsoft Office, specifically, Microsoft Word, Excel, Power Point; Google Apps;
  • Considerable knowledge of bookkeeping and accounting procedures;
  • Effective time management skills;
  • Excellent customer service skills;
  • Excellent proofreading skills;
  • Critical thinking and problem solving skills;
  • Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback;
  • Ability to work proactively and recommend more efficient methods of productivity within the office;
  • Ability to work independently without close supervision;
  • Ability to establish and maintain effective working relationships with school system staff, external agencies, parents, and the community.
EDUCATION, TRAINING, AND EXPERIENCE
  • High school diploma or equivalent;
  • Experience in a secretarial or related field.
CERTIFICATION AND LICENSE REQUIREMENTS

None

PREFERRED QUALIFICATIONS:
  • Associates degree from a regionally accredited college or university;
  • Secretarial experience in a public school setting;
  • Experience in monitoring budget and payroll functions;
  • Experience using Oracle business applications


ESSENTIAL DUTIES AND RESPONSIBILITIES:
  1. Performs secretarial duties and provides administrative support to the Director of Title I.
  2. Serves as the initial contact person for visitors and answers incoming phone calls to the office.
  3. Maintains departmental general ledger; creates and processes purchase order and direct pay requests; orders, receives, and distributes supplies for department staff; assisting with department meetings, inventories, conference, and daily travel, scheduling meeting location.
  4. Responds to inquiries and researches replies to questions posed by school system staff, parents, and the public.
  5. seeking information about Title I programs.
  6. Monitors and processes time records for department staff including leave requests and reports.
  7. Prepares and processes system-wide prior approval requests for teacher substitutes, out-of-district travel.
  8. Performs other related duties, as assigned.


WORK ENVIRONMENT/PHYSICAL REQUIREMENTS

This position operates in a professional office and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, scanners, and copiers. The position, at times, must be able to come into direct contact with school system staff, parents, staff members of external agencies, and the community. Work is considered light physical work, requiring the exertion of up to ten pounds of force.
