PURPOSE: This position supports the Secretary-Treasurer and other Executive Office staff, involving the accurate and timely processing of documents and information. The role requires high skill in logistical planning and organization, and may involve coordinating personal and business calendars for the Officer.
PRIMARY RESPONSIBILITIES:
- Scheduling in coordination with the Deputy Secretary Treasurer and Assistant to the Secretary Treasurer.
- Performing various administrative duties including preparing correspondence, reports, invoices, and confidential documents.
- Organizing and managing speaking requests and engagements for the Secretary-Treasurer.
- Coordinating with the Communications department for speaking engagement preparations.
- Assisting in coordinating Committee meetings, including planning logistics.
- Planning and preparing for special projects and functions.
- Creating consulting agreements and processing invoices.
- Coordinating workshops, meetings, and other activities involving executive staff.
- Maintaining filing and records systems; managing the Secretary Treasurer’s calendar and travel arrangements.
- Handling written and oral correspondence for the executive office.
- Performing other duties as required to support the Secretary-Treasurer and their team.
- Representing the Secretary Treasurer’s office by welcoming visitors and addressing inquiries.
- Advancing the Secretary Treasurer as outlined in the daily schedule.
- Handling confidential information and sensitive requests.

DIRECTION AND DECISION-MAKING: This position supports the Secretary-Treasurer and reports to the Director of Scheduling, exercising discretion and maintaining confidentiality.
EDUCATION AND EXPERIENCE: Graduation from an accredited college or university is preferred, with at least seven (7) years of related work experience, including five (5) years supporting an elected official.
- Thorough knowledge of office administrative operations.
- Knowledge of unions and their operations.
- Ability to communicate effectively, both orally and in writing.
- Skill in the use of Google and/or Microsoft Office Suite.
- Bilingual (Spanish) proficiency preferred.
PHYSICAL REQUIREMENTS: Work is generally performed in an office setting with extended hours and travel required.
