Performs all functions of office operations: schedules appointments, maintains office supplies, computers and office equipment and otherwise relieves officials of clerical work and minor administrative and business detail by performing the following duties.

About ICB

Launched in 2006, UNCF’s Institute for Capacity Building (ICB) provides targeted capacity-building resources to help HBCUs improve their resilience. We define resilience as the institution’s ability to improve its operation today and future-proof them for tomorrow. ICB’s engagement equips UNCF member institutions, and other HBCUs and PBIs, to provide high-quality educational experiences to their students and the broader Black community. ICB’s work focuses on three areas critical to HBCU success: institutional effectiveness, academic competitiveness, and financial viability. Beyond our strategic advisory and project management support, ICB serves as an innovation hub for Black colleges, connecting institutions to funders, best practices, resources, and subject matter experts both within and outside of UNCF.

Successful candidates will join the Institute for Capacity Building team which is headquartered in Atlanta, Georgia. In addition to specific roles and responsibilities, ICB team members have proven to be successful when they:

Primary Responsibilities and Duties

Core Competencies

Administrative Support

  • Provide day-to-day administrative support to the ICB Leadership team.
  • Coordinate meeting schedules, prepare agendas, and transcribe minutes.
  • Manage communications (email, phone calls) related to ICB programs.
  • Maintain organized electronic and physical files related to programs and initiatives.
  • Assist in the preparation and dissemination of program materials, reports, and presentations.
  • Serve as a point of contact for internal and external stakeholders, as needed.
  • Assist with drafting and proofreading emails, letters, and other communications for assigned vertical leads.
  • Assist in preparing reports, presentations, and documents for both internal and external use.

Calendar and Schedule Management

  • Schedule virtual and in-person meetings for the ICB Leadership team.
  • Manage the internal ICB Calendar.
  • Establish a comprehensive process, utilizing tools like Calendly.

Travel Management

  • Arrange travel (flights, hotels, and related needs) for ICB Leadership and team members.
  • Submit and manage credit card authorization forms for bookings.

Concur Travel and Expenses Management

  • Reconcile all travel expenses and reimbursements, within 30 days.
  • Identify funding sources before travel and secure required documentation.
  • Work collaboratively with the ICB Leadership to obtain the required documentation and/or receipts to process reimbursement.
  • Work with the Finance team to review and reconcile expenses monthly.

Event Management and Meeting Support

  • Coordinate workshops, webinars, and conferences, including RSVPs and invitations.
  • Assist with event setup and breakdown, materials, and technical readiness for all meetings.
  • Support virtual meetings by ensuring technical readiness and participant management.

Research and Special Projects

  • Conduct basic research to support program development.
  • Assist with special projects and initiatives assigned by ICB leadership.

Report and Document Preparation

  • Prepare high-quality reports, presentations, and documents for internal and external use.
  • Proofread and edit written content for grammar, punctuation, and accuracy.

Other duties as assigned.

SUPERVISORY RESPONSIBILITIES

No supervisory responsibilities.

QualificationsEducation and/or Experience:

Must have an Associate’s degree (A. A.) or equivalent from a two-year college or secretarial school diploma with stenography courses is desirable and a minimum of 3-5 years’ administrative assistant experience.

Other Skills and Abilities:

Excellent phone etiquette; strong organizational, interpersonal, and listening skills; intermediate to advanced knowledge in Microsoft Suite, especially Excel; ability to type 50 words per minute and the ability to work under pressure, in a fast-paced environment, with a high level of professionalism and confidentiality. Must have experience with complex scheduling and calendar management. Must have the ability to prioritize and manage multiple projects simultaneously and complete them in a timely manner.

SOFTWARE SKILLS REQUIRED

Knowledge of O365 with intermediate to advanced knowledge in Word and Excel. Must be proficient in mail merges, and correcting source or cell errors. Must be proficient in the manipulation of Excel formulas.

LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
