· Monday through Friday, 4:30am-9:30am

The Role

This position is responsible for assisting in the coordination of daily produce sales. We are seeking a detail-oriented and organized Office Assistant to coordinate the daily operations of our sales office. This position will assist the sales team in the entire customer ordering process--the initial order, coordinating warehouse pickers and drivers, invoicing, locating drivers, routing reports, and ensuring the satisfaction of our customers.

Responsibilities:

Includes, but not limited to, the following. Other duties may be assigned as necessary.

• Ensuring smooth communication within the sales team, drivers, and warehouse workers.
• Provide excellent customer service when answering phones and handling sales accounts.

· Customer service and engagement—this position requires collaborative customer interaction, strong communication skills and the ability to represent A&Z in a way that creates an engaging and positive client experience

· Reliable, punctual, and flexible

• Complete all initial invoicing accurately prior to submitting to the driver before delivery.
• Be receptive and open to innovative technology and utilize available warehouse management software to its capacity.
• Take full responsibility for managing your respective job duties.
• Process credit card transactions for will-call pick ups or phone orders.
• Ensure that customer needs and inquiries are responded to and taken care of in a timely fashion.
• Tracking short lists of produce and adjusting invoicing accordingly
• Coordinate routing reports provided by the general manager when tracking drivers and arrival times to their delivery destinations to ensure timely arrival.
• Respond to emails from customers inquiring about price lists, etc.
• Perform general duties as requested by upper management.

Basic Qualifications:

• Food service background and broad knowledge of food products helpful, but not required
• Strong organizational skills with the ability to prioritize tasks
• Proficiency in Microsoft Office and other relevant software applications

· Positive attitude and strong work ethic

· Ability to work effectively with others

· Excellent communication and interpersonal abilities

· Ability to multitask and work efficiently under pressure

· Knowledge of office procedures and basic financial principles

· Requires time on the telephone. Must have clear communication skills. Limited writing and e-mail usage equivalent to a 12th grade education.

· Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions, written and oral.
