OFFICE ADMINISTRATIVE ASSISTANT
Monday - Friday
8:00 am - 5:00 pm
$17.00 - $20.00 per hour
ESSENTIAL JOB FUNCTIONS
  • Prepare, post, verify, and record customer payments and transactions related to accounts receivable/payable.
  • Create and submit invoices in accordance with company practices.
  • Maintain and update customer files with accuracy.
  • Draft correspondence for standard past-due accounts, identify delinquent accounts, and contact customers for collections.
  • Generate reports regarding the status of customer accounts as needed.
  • Copy, file, and retrieve materials for accounts receivable and other documentation.
  • Answer and route phone calls to appropriate departments; manage incoming communication.
  • Greet visitors professionally and direct them as necessary.
  • Perform clerical tasks, including drafting emails, letters, memos, invoices, reports, and other documents.
  • Schedule and manage appointments and meetings, including attending meetings when needed.
  • Receive and review memos on behalf of senior staff; summarize content and distribute to appropriate personnel.
  • Maintain office supply inventory and ensure supplies are organized and available.
  • Perform basic bookkeeping duties, including creating spreadsheets and managing databases.
  • Manage mail, fax communications, and both traditional and electronic filing systems.
  • Prepare, edit, and process expense reports, invoices, and related documents.
  • Assist in creating presentations and organizing data into reports.
JOB REQUIREMENTS
  • Excellent verbal and written communication skills.
  • Strong organizational skills with keen attention to detail.
  • Ability to work independently and efficiently in a fast-paced environment.
  • Exceptional time management skills and ability to prioritize tasks.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Minimum of 2+ years of QuickBooks experience is required.
  • Ability to operate office equipment efficiently.
  • Strong customer service skills with a professional demeanor.
  • In-depth knowledge of office administration, clerical procedures, and record-keeping systems.
  • Ability to sit for prolonged periods and manage office tasks effectively.
