Scheduling and Marketing Assistant

At U.S. Fire Protection, we pride ourselves in the indispensable service we have provided with integrity to many over our 20 years of experience in the field of fire sprinkler and suppression installation and fire extinguisher servicing for both residential and commercial properties. We are a small, family business growing at a steady rate and are looking for others to join our team!

We are looking for somebody with experience in appointment setting, scheduling, and basic marketing.

Your duties include:

  1. Fast learner – we will train you on our current software.
  2. Take care of the mail and answer emails.
  3. Schedule appointments with our existing clients for routine servicing, as well as filling in the schedule by outreaching to new clientele as needed.
  4. Add new clients into the system and keep client information up to date.
  5. Work in conjunction with field technicians to ensure servicing dates and notes are current.
  6. Ensure time cards are correct and ready for processing.
  7. Respond to and direct Yelp service requests in a timely manner.
  8. Contact clients with upcoming due or unpaid invoices.
  9. Projects, including ensuring new hire paperwork and labor law posters are current and running necessary reports for WC.
  10. Scan, file, organize, answer calls, manage office supply and break room inventory.
  11. Assist our field technicians with putting away and organizing documents and blueprints.
  12. Weekly meeting with management.
  13. Assist President and his business partner as needed. They may add to this list as things pop up.
  14. Manage social media presence – post and respond.
  15. Assist management with ordering and mailing out marketing material.
  16. Place product orders for field technicians as needed.

This is not a fast-paced position.

Requirements:

  1. Prior experience in scheduling and appointment setting is a must.
  2. Must be resourceful and computer savvy. We will train on specific software, not train on how to use a computer.
  3. You will be dealing with confidential information so trustworthiness and ethics are a must.
  4. In-office position – this is not a remote position.
  5. Professional verbal and digital communication as the face of the company.
  6. Background check.

We offer:

  1. Part-time from 9am to 3pm (or 3:30 with lunch), M-F with the possibility of full-time. There is some flexibility with the start/end time.

Compensation:

$23.00/hour to start with an increase after a 30-day probationary period. Amount increased will depend on your work ethic and capabilities! We are happy to negotiate with the right person. Pay is weekly.
