Job Description
Job Title: Mailroom Specialist
Position Overview: The Mail Services Specialist is responsible for managing various mail-related tasks, including opening, prepping, scanning, and processing both incoming and outgoing mail. This role ensures that all mail handling operations are carried out efficiently, accurately, and in compliance with organizational procedures.
Major Areas of Accountability:
Mail Opening, Prepping, and Scanning: Responsible for opening, prepping, and scanning incoming physical mail to ensure proper categorization and processing.
Electronic Mail Processing (E-Prep/FTP): Prepping and managing incoming electronic mail, including files transferred through FTP.
Outbound Mail Processing: Handling outbound mail, including the use of postal equipment like mail inserters, postage meters, and computers for proper mailing. This may also involve the handling of outgoing overnight packages.
Additional Tasks: Assist with other mail-related tasks as assigned.
Requirements:
Education:
High School Diploma or GED.
Knowledge and Skills:
Ability to stand or sit for long periods.
Basic computer skills.
Strong decision-making ability.
Excellent organizational skills.
Flexibility to handle various assignments.
Ability to learn and adhere to multiple policies and procedures.
Must be able to lift up to 50 pounds.
Previous Experience:
Previous experience in a mailroom setting is preferred.
Attention to detail is a must.
Work Schedule:
Shift Days/Hours: Monday to Friday, from 7:00 AM or 8:00 AM to 5:00 PM.
Must be flexible to adjust shift start time to 7:00 AM, with potential for some overtime.
Hybrid schedule: Sort mail in the office in the morning, then take the mail home for completion. Occasional travel to the office twice in one day (rare).
