The Executive Assistant provides high-level administrative support to senior leadership within the organization, ensuring smooth operations across various tasks and projects. This Executive Assistant might also be responsible for high-level international travel. This Executive Assistant would thrive if they had past fashion experience. Responsibilities of the Executive Assistant:
- Manage contacts, calendars, and appointment scheduling for the executives, coordinating logistics for meetings and conferences.
- Organize and coordinate logistics for departmental and company-wide meetings, including reviews, strategy sessions, and team off-sites.
- Proactively manage and prioritize communications, emails, calls, and reports, ensuring a timely flow of information.
- Maintain and organize files and communications to ensure efficient information management.
- Arrange travel and accommodations, prepare itineraries, and manage expense reports for executives and their teams.
- Collaborate on projects, including preparing presentations and reports for leadership meetings.
- Draft, edit, and format correspondence and presentations with minimal supervision.
- Follow up on tasks to ensure timely completion and adherence to deadlines.
- Process invoices and generate regular reconciliation reports.
- Maintain organizational systems, office supplies, and business continuity resources.
- Assist with new employee setup, onboarding, and IT requests.
- Coordinate team-wide meetings and facilitate internal communications, including HR policies and reminders.
- Oversee employee engagement activities and social committees, including managing summer intern programs.
- Provide general administrative support to the teams as needed, managing various projects and requests.
Qualifications for the Executive Assistant:
- 3 - 5 years of experience in an administrative assistant role, ideally in a business, planning, or retail environment.
- Proficiency with online meeting tools, video conferencing, and remote communication platforms.
- Ability to effectively manage multiple communication channels (email, text, and team apps) and organize workflows for senior leaders.
- Experience coordinating work-related events, meetings, and other team support functions.
- Highly organized with excellent attention to detail and the ability to maintain schedules, filing systems, and calendars.
- Strong prioritization, time management, and follow-up skills.
- Flexibility and ability to handle changing priorities and multiple tasks simultaneously.
- Strong verbal and written communication skills, including drafting correspondence with minimal direction.
- Exceptional interpersonal skills with a proactive and resourceful approach to tasks.
- Strong project management capabilities, able to manage multiple responsibilities efficiently.
- Expert in Microsoft PowerPoint, with proficiency in Outlook, Excel, and Word.
- Familiarity with managing multiple calendars and utilizing macros for efficiency is a plus.
- Ability to work effectively in a team-oriented, fast-paced environment.
Education Requirements:
- Bachelor's degree (or equivalent) is preferred.
